Role summary
The Project Management Specialist is responsible for coordinating end-to-end project delivery, maintaining accurate project controls, and supporting the timely delivery of high-quality outcomes. The role manages scope, schedules, risks, changes, budgets, reporting, and stakeholder communication while guiding project teams and driving continuous improvement.
Key responsibilities
Manage project scope and support the definition and validation of project requirements, deliverables, ownership, dependencies, and acceptance criteria.
Develop and maintain project plans, schedules, milestones, critical paths, resource assignments, and delivery estimates.
Monitor execution, project status, risks, issues, changes, quality, and overall delivery performance; maintain accurate project tracking and documentation.
Assess change requests, validate schedule and budget impacts, and communicate approved changes to relevant stakeholders.
Create and apply project-level risk mitigation plans, assign owners, escalate unresolved issues, and follow through to resolution.
Coordinate project teams, remove delivery roadblocks, clarify priorities, and provide actionable guidance to support timely completion of assignments.
Prepare and present project status, delivery risks, decisions, and recommendations to sponsors, clients, and other stakeholders.
Manage project communication plans and adapt communications for multicultural and cross-functional audiences.
Support project budget management, including basic cost estimates, budget tracking, and validation of financial impacts with senior leadership.
Build effective working relationships with clients and key stakeholders, identify emerging concerns, and support timely resolution of escalations.
Identify and implement opportunities to improve delivery processes, team productivity, collaboration, and quality assurance.
Mentor project resources through regular guidance, knowledge sharing, and constructive feedback.
Participate in candidate interviews and contribute project management expertise to selection decisions.
Required qualifications
5+ years of experience in project or program management, including responsibility for project delivery from planning through execution and closure.
2+ years of experience coordinating project teams, workstreams, or project resources.
Demonstrated experience managing project scope, schedules, risks, issues, change requests, dependencies, and status reporting.
Experience applying Agile and/or Waterfall project management methodologies.
Experience communicating project status and recommendations to clients, sponsors, and cross-functional stakeholders.
Experience creating project estimates and supporting project budget or cost management activities.
Experience using project tracking tools and maintaining project documentation and quality controls.
Bachelor’s degree, technical degree, advanced studies in Systems Engineering, Business Administration, Project Management, or a related field; equivalent relevant experience is also accepted.
Preferred qualifications
PMP, Agile, Scrum, Six Sigma, ITIL, COBIT 5, or comparable certification.
Experience leading budget management for projects.
Master’s degree in Project Management or a related discipline.
Experience working with multicultural and geographically distributed teams.
Experience supporting vendor, contract, demand, operations, or service change management.
