AECOM is an American infrastructure consulting firm that became independent in 1990 through a management buyout from the energy group Ashland, and is now one of the largest design and engineering organisations in the world. It plans, designs and manages delivery of transport systems, water and wastewater infrastructure, buildings, environmental remediation and energy projects for public agencies and private developers across roughly one hundred and fifty countries. Headquartered in Dallas after relocating from Los Angeles, the company sold its self-perform construction and government services arms to concentrate on higher-margin professional services rather than carrying construction risk.

  • Coordinate the preparation, distribution, and documentation of project meeting minutes, including tracking action items, responsible parties, and follow-up activities.
  • Receive, review, process, and distribute construction correspondence, contractor submittals, RFIs, change orders, field reports, and other project communications.
  • Maintain comprehensive electronic and hard-copy project files in accordance with AECOM and client document control procedures.
  • Assist with reviewing and processing contractor payment applications, project invoices, supporting documentation, and other financial records.
  • Track and maintain construction quality documentation, including material testing results, laboratory reports, inspection records, nonconformance reports, and related project deliverables.
  • Monitor document review and approval workflows to help ensure project information is distributed to the appropriate stakeholders within established deadlines.
  • Support the preparation and organization of project reports, progress documentation, construction records, and project closeout packages.
  • Coordinate with project managers, construction managers, resident engineers, inspectors, contractors, and client representatives to resolve documentation discrepancies and obtain outstanding information.
  • Assist with maintaining project schedules, correspondence records, distribution lists, and other administrative tracking tools.
  • Ensure project documentation is complete, properly version-controlled, readily retrievable, and maintained in accordance with contractual and regulatory requirements.

  • Proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and SharePoint, as well as experience using electronic document management systems and construction management platforms such as Procore.
  • Demonstrated ability to maintain document control logs, prepare meeting minutes, track action items, manage comment resolution, and coordinate the timely processing of project documentation.
