About the Position:

This position is a primary support to employees and managers for all areas of HR and is responsible for HR delivery to the business region. Such responsibilities include assisting in the recruiting process, administrative functions, employee relations, and employee communications in both English and French.

Specific Responsibilities:

  • Supports the HR Manager, operation(s) and business units including the following

  • Developing, implementing, monitoring, and evaluating workplace action plans and policies;

  • Employee and Labour Relations and employee relations matters, including investigations, terminations etc;

  • Progressive discipline and counselling of employees via our Performance Improvement Action Plan process;

  • Disability management process (i.e. - Occupational & Non-occupational leave of absences) as well as Stay-at-Work and Return-to-Work processes for work-related and non-occupational cases;

  • Workforce planning, labour optimization, recruitment, promotions, transfers, demotions, layoffs and terminations;

  • Conducting research on an as needed basis, which may include internal and external surveys;

  • Introduction and participation in Human Resources related programs, such as Employee Training and Development, Rewards & Recognition, Performance Management, Annual Compensation Review, etc;

  • Coordinates new hire orientation program and ensures onboarding is completed and documented;

  • Assists in organizing employee engagement events, internal employee communications, and HR Sharepoint content;

  • Supports organizational development initiatives including orientation programs and performance reviews;

  • Ensure all invoices are coded correctly and submitted Finance for payment;

  • Responds to routine questions from employees;

  • Responds to and complete requests for information from outside sources (including reference checks, personnel file requests, wage information, etc.);

  • Maintains and updates employee files;

  • Ensures that all Human Resource forms, policies, manuals, etc. in use in the region are up-to-date;

  • Supports and confirms translation of employee communications;

  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;

  • Other duties as assigned.

Required Knowledge, Skills & Abilities:

  • Excellent English communication skills, both written and verbal;

  • Bilingual in French and English is highly preferred;

  • Strong customer service focus, interpersonal and organizational abilities;

  • Ability to maintain confidentiality;

  • Demonstrated judgment, creativity, integrity, critical thinking and ability to problem-solve;

  • Understanding of Employment related legislation in Eastern Canada;

  • Advanced Microsoft computer skills and ability to learn new systems and applications;

  • Ability to effectively handle escalations and time-critical issues.

Required Qualifications:

  • Completion of a diploma or university degree or equivalent is preferred;

  • CPHR or equivalent or progressing towards CPHR;

  • 1-2 years’ experience in an HR Assistant or Coordinator role;

  • Previous customer service or office administration experience is an asset.

Physical Demands:

  • Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;

  • Ability to use and view a computer screen for up to 8 hours per day;

  • Ability to communicate in-person, via telephone and e-mail without assistance.

  • Le processus de gestion des invalidités (p. ex. congés liés ou non liés au travail), ainsi que les processus de maintien au travail et de retour au travail pour les cas liés au travail et les autres absences;

  • La planification de la main-d’œuvre, l’optimisation des effectifs, le recrutement, les promotions, les mutations, les rétrogradations, les mises à pied et les cessations d’emploi;

  • La réalisation de recherches au besoin, pouvant inclure des sondages internes et externes;

  • L’introduction et la participation à des programmes liés aux ressources humaines, tels que la formation et le développement des employés, les programmes de reconnaissance et de récompenses, la gestion du rendement, la révision annuelle de la rémunération, etc.;

  • La coordination du programme d’accueil des nouveaux employés et la vérification que le processus d’intégration est complété et documenté;

  • L’aide à l’organisation d’activités d’engagement des employés, des communications internes et du contenu RH sur SharePoint;

  • Le soutien aux initiatives de développement organisationnel, notamment les programmes d’accueil et les évaluations de rendement;

  • La vérification que toutes les factures sont correctement codées et transmises au service des finances pour paiement;

  • La réponse aux questions courantes des employés;

  • Le traitement des demandes d’information provenant de sources externes (notamment les vérifications de références, les demandes de dossiers d’employés, les informations salariales, etc.);

  • La tenue et la mise à jour des dossiers des employés;

  • La vérification que tous les formulaires, politiques, manuels et autres documents liés aux ressources humaines utilisés dans la région sont à jour;

  • Le soutien et la validation des traductions des communications destinées aux employés;

  • Le respect des règlements de sécurité établis ainsi que des politiques et procédures de santé et sécurité d’ALS;

Connaissances, compétences et aptitudes requises :

  • Excellentes compétences en communication en anglais, à l’oral et à l’écrit;

  • Le bilinguisme français-anglais est fortement privilégié;

  • Fort souci du service à la clientèle, excellentes aptitudes relationnelles et organisationnelles;

  • Capacité à maintenir la confidentialité;

  • Capacité démontrée en matière de jugement, de créativité, d’intégrité, de pensée critique et de résolution de problèmes;

  • Compréhension de la législation liée à l’emploi dans l’Est du Canada;

  • Compétences avancées en informatique, notamment avec Microsoft, et capacité à apprendre de nouveaux systèmes et applications;

Qualifications requises :

  • Diplôme collégial ou universitaire complété, ou expérience équivalente, de préférence;

  • Titulaire du titre CRHA/CPHR ou en voie de l’obtenir;

  • 1 à 2 ans d’expérience dans un poste d’adjoint(e) ou de coordonnateur(trice) en ressources humaines;

  • Une expérience antérieure en service à la clientèle ou en administration de bureau constitue un atout.

Exigences physiques :

  • Capacité à travailler assis à un bureau et à effectuer des tâches générales de bureau, comprenant certaines responsabilités sédentaires;
