Secretary - Operations

Core Responsibilities

• • Patient Check-In & Reception: Welcome patients, verify identity and demographic details, and guide them through registration and waiting areas.[1, 2, 3]
  • Appointment Scheduling: Book, reschedule, and confirm outpatient doctor consultations, follow-ups, and diagnostic tests while reducing schedule conflicts.[1, 2, 3]
  • Record Management: Maintain and update electronic health records (EHR/EMR), file patient notes, and ensure data privacy.[1, 2, 3]
  • Communication & Coordination: Answer multi-line phone calls, relay messages between doctors and patients, and coordinate with lab or billing departments.[1, 2, 3]
  • Billing & Insurance Support: Assist with patient co-pays, process billing invoices, and coordinate basic insurance paperwork.[1, 2, 3]

Key Qualifications & Requirements

• • Education: High school diploma or GED; a vocational certificate, associate degree, or diploma in medical administration/secretarial practice is preferred.[1, 2, 3]
  • Experience: 1 to 3 years of administrative or clerical experience in a healthcare, clinic, or hospital setting.[1, 2, 3]
  • Technical Skills: Proficiency in MS Office, database entry, and hospital/practice management software or EHR systems.[1, 2, 3]
  • Knowledge: Familiarity with basic medical terminology and patient confidentiality regulations.[1, 2, 3]
  • Soft Skills: Strong verbal communication, organization, patience, and multitasking abilities.
