Job Description

Purpose of the role

To provide administrative and organisational support to executives, managers, or teams. To manage schedules, acting as a trusted point of contact, ensuring seamless coordination, efficient task management, and a professional presence for their assigned individuals or teams.

Accountabilities

  • Management of executive, managers or team calendars and overseeing timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation and ground transportation, ensuring timely and efficient travel for the executive or team.
  • Proactively anticipating the needs of the executive or team, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.

Join us as an Executive Assistant within Senior Relationship Management, providing broad administrative and coordination support to a busy, senior and highly client-facing team. The role will include dedicated support for 2 Managing Directors and 1 Director, while also playing an important part in supporting the wider team and helping it operate smoothly and effectively.

This is an exciting opportunity to join the Senior Relationship Management team within Barclays Investment Banking. The successful candidate will be a strong team player above all else, with a dependable, proactive and positive approach. The role requires someone highly organised, thoughtful and adaptable, with the ability to manage multiple priorities at pace, think ahead and take ownership of tasks through to completion.

Key Accountabilities

  • Provide broad administrative and coordination support to the Senior Relationship Management team.
  • Support 2 Managing Directors and 1 Director with diary management, scheduling and day-to-day administrative requirements.
  • Work collaboratively with other Executive Assistants and Front Office colleagues to support the smooth running of the wider team.
  • Manage complex diaries and coordinate meetings across senior internal and external stakeholders.
  • Liaise with senior clients, including C-suite contacts and public figures, on behalf of the MDs and wider SRM team.
  • Coordinate complex international travel, including detailed itineraries, logistics and changes at short notice.
  • Support internal and external event organisation, including room bookings, logistics, budgets and related administration.
  • Manage expenses, phone coverage, note taking, document proofreading and other general team administration.
  • Act as a delegate for MDs on selected administrative and coordination tasks.
  • Anticipate requirements, identify issues early and provide practical, solutions-focused support.
  • Use good judgement to determine when to solve issues independently and when to escalate.
  • Manage multiple priorities in a fast-paced environment while maintaining accuracy, discretion and professionalism.

Essential Skills and Experience

  • Extensive Executive Assistant experience supporting senior stakeholders in fast-paced, client-facing or Front Office environments, with proven expertise engaging C-suite clients and executives.
  • Exceptional organisational, planning and coordination skills, including managing complex diaries, senior-level meetings, international travel and dynamic schedules.
  • Strong communication, interpersonal and client management skills, with professional judgement, discretion and the ability to represent senior stakeholders effectively.
  • Proactive, solutions-focused and highly dependable, demonstrating ownership, accountability and the ability to anticipate needs, solve problems independently and escalate appropriately when required.
  • Strong team player with a collaborative, adaptable and detail-oriented approach, able to support the wider team, work accurately under pressure, handle confidential information sensitively and demonstrate a willingness to learn and develop.

Desirable Skills and Preferred Qualifications

  • Experience supporting senior leaders in Investment Banking, Financial Services or another fast-paced corporate environment.
  • Experience working as part of a broader EA or administrative support team.
  • Ability to work both autonomously and collaboratively.
  • A flexible, service-oriented approach and strong business maturity.
