Purpose of the Role

BGIS is looking for a Procurement & Subcontractor Coordinator to join the team supporting a large Victorian government property portfolio. Reporting to the Procurement and Vendor Contract Manager, you'll coordinate procurement, quoting and tender activity in this newly created role, and make sure subcontractors meet contractual, safety and compliance requirements from start to finish.

Key Responsibilities

  • Coordinate procurement activities, including sourcing, tendering, quotation management, evaluation and supplier engagement.
  • Manage quotation processes through Vendor Panel, making sure they meet contractual requirements.
  • Support procurement approaches that deliver value for money, cost savings, service quality and reduced risk.
  • Help set up and administer subcontract agreements.
  • Coordinate subcontractor onboarding and compliance, including licences, insurances, qualifications and safety documentation.
  • Monitor ongoing contractor compliance and escalate any issues.
  • Keep procurement and compliance records accurate and audit ready.
  • Work with Operations, HSEQ and suppliers on compliance reviews, audits and corrective actions.
  • Suggest improvements to procurement and contractor management processes.

Education, Experience & Skills

Essential:

  • Experience coordinating procurement and sourcing activities in property, facilities management or corporate real estate.
  • Experience with contractor onboarding, safety compliance or subcontractor verification.
  • Sound understanding of safety management systems, subcontractor controls and risk management.
  • Excellent communication and interpersonal skills, with the ability to work with the client, contractors and internal teams.
  • Strong problem-solving skills and a flexible approach to change.
  • Proactive and organised, and comfortable managing your own workload.
  • Tertiary qualifications in Property, Commerce, Business or a related discipline.

Desirable:

  • Experience using Vendor Panel or similar procurement platforms.
  • Experience with integrated property, facilities, project or financial management services.
  • Experience supporting government or multi-site portfolios.
  • Experience supporting audits or compliance reviews.

This is a full time, permanent position based 100% in our Melbourne CBD office, close to public transport, cafés and local amenities.
