About the Role
The Operations Coordinator will keep our Long Beach office running day to day, from greeting visitors and signing for packages to coordinating with building management and our security lead. You will also support the recruiting team with candidate scheduling, travel, and meeting setup, partner with our EA to prepare for visiting interviewers and other outside guests, and serve as the onsite contact for Marketing's events. This role reports directly to the Recruiting Lead supporting the overall business operations..
Responsibilities
Greet all office visitors and ensure every guest signs an NDA before entering the workspace.
Coordinate with the security lead to keep them informed of all non-employees in the building.
Partner with the EA to stay ahead of expected visitors, such as outside interviewers or photographers, and make sure NDAs are ready in advance.
Sign for incoming packages and deliver them to the appropriate person or team.
Act as the point of contact with building management for electrical, plumbing, and other maintenance needs, as well as access issues.
Stock the kitchen, order daily lunch, and maintain general office supply inventory.
Track and manage relationships with office vendors, such as cleaning and lunch ordering services.
Set up new hire desks ahead of their start date and prepare meeting and interview spaces as needed.
Support the recruiting team with candidate interview scheduling and travel arrangements when needed.
Act as the onsite point of contact for Marketing events, managing catering and coordinating vendor bookings such as AV, tables, signage, and rentals.
Required Qualifications & Skills
2+ years of experience as an Office Manager, Office Coordinator, or in a similar operations or administrative role.
Proven ability to manage vendor relationships and coordinate logistics for office needs and events.
Strong written and verbal communication skills, with the professionalism to greet visitors and represent BlueCore well.
Highly organized, with the ability to juggle competing priorities in a fast paced startup environment.
Comfortable handling confidential information, such as NDAs, with discretion and professionalism.
Comfortable coordinating across multiple stakeholders, including building management, security, recruiting, and marketing, to keep the office running smoothly.
A proactive, no task too small attitude, willing to move between big picture coordination and hands on office work.
Desired Qualifications & Skills
Familiarity with Google Workspace.
Experience supporting recruiting coordination, such as interview scheduling, or event planning.
Experience with office management tasks such as vendor coordination or facilities support.
Interest in clean energy, nuclear power, or the broader startup world.
