Bristol Myers Squibb is seeking a highly organized, proactive, and experienced Executive Assistant to provide comprehensive administrative and operational support to the Global Purpose and Patient Experience Leadership team and the President of the BMS Foundation. This dual-support role requires exceptional discretion, strong organizational skills, and the ability to operate effectively in a fast-paced, mission-driven environment. The ideal candidate is a strategic partner who anticipates needs, manages competing priorities, and enables leadership to focus on high-impact work.

Key Responsibilities

Scheduling & Calendar Management

  • Manage and maintain complex, multi-time-zone calendars for the Head of Global Purpose & Patient Experience and the President of the BMS Foundation, ensuring seamless coordination across internal and external stakeholders.
  • Schedule, confirm, and prepare executives for meetings, conferences, board sessions, and speaking engagements, including preparation of briefing materials and agendas.
  • Proactively resolve scheduling conflicts and prioritize requests in alignment with strategic business objectives.
  • Coordinate recurring team meetings, leadership forums, and BMS Foundation Board meetings, including logistics, dial-in details, room reservations, and catering as needed.
  • Partner with other executive assistants, legal, communications, and external partners to coordinate cross-functional meetings and events.

Expense Reporting & Financial Coordination

  • Prepare, submit, and reconcile expense reports for supported executives in a timely and accurate manner using BMS financial systems (e.g., Concur or equivalent).
  • Ensure compliance with BMS expense policies and flag any discrepancies for timely resolution.

Travel Coordination.

  • Arrange all domestic and international travel including flights, hotels, ground transportation, and visa/documentation requirements for both supported executives.
  • Prepare detailed travel itineraries and ensure executives have all necessary materials and briefings ahead of travel.
  • Manage last-minute travel changes efficiently and ensure compliance with BMS travel policies.

Administrative & Operational Support

  • Serve as the primary point of contact for internal and external inquiries directed to Global Purpose & Patient Experience Leadership and the BMS Foundation President.
  • Support onboarding logistics for new team members, including equipment setup, access provisioning coordination, and orientation scheduling.
  • Handle confidential information with the utmost discretion and professionalism.

Stakeholder & Event Coordination

  • Liaise with BMS Foundation Board members, community partners, patient advocacy organizations, and external stakeholders in a professional and responsive manner.
  • Collaborate with communications and events teams to support program execution and leadership visibility activities.

Qualifications & Experience

Required

  • Bachelor's degree or equivalent combination of education and professional experience.
  • 5+ years of executive administrative experience, preferably supporting C-suite or senior Vice President-level executives in a corporate or nonprofit environment.
  • Demonstrated experience managing complex calendars and coordinating across multiple time zones.
  • Proficiency in expense management tools (e.g., Concur, SAP) and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Exceptional written and verbal communication skills.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail, organizational skills, and the ability to manage multiple priorities simultaneously.

Preferred

  • Prior experience supporting foundation, corporate social responsibility, or patient advocacy functions.
  • Familiarity with pharmaceutical or healthcare industry environments.
  • Experience coordinating Board of Directors meetings or nonprofit governance activities.
  • Knowledge of BMS internal systems and processes.

Compensation Overview:

Princeton - NJ - US: $74,630 - $90,434

The starting pay range(s) listed above is for full-time employees (FTE). You may also be eligible for additional discretionary incentive cash and stock opportunities. We determine starting pay thoughtfully - carefully considering the nature of the role, required skills, work location, schedule and the knowledge and experience you bring. Final compensation is guided by pay equity principles and applicable employment laws. Compensation programs are reviewed on an ongoing basis and may be adjusted over time to reflect evolving market factors, and individual, team or Company performance.

Benefits:

Subject to the terms and conditions of the applicable plans then in effect, you may be eligible to participate in our comprehensive benefit plans - including wellbeing support, retirement and financial protection benefits, and insurance offerings (medical, dental, vision, life and disability).

U.S.-based exempt employees are eligible for Flexible Time Off (FTO), which provides paid time off without a set accrual limit, subject to manager approval, along with 11 paid company holidays each year.

Non-exempt employees, RayzeBio employees, and employees located in Puerto Rico receive 160 hours of paid vacation annually for new hires (subject to manager approval), 11 paid company holidays, and 3 optional holidays.

Depending on eligibility, employees may also have access to additional time-off benefits, including paid sick leave, up to two paid volunteer days per year, summer hours flexibility, and leaves of absence for medical, personal, parental, caregiver, bereavement, or military needs. Eligible employees also enjoy an annual Global Shutdown between Christmas Day and New Year's Day.
