Position Description
The Portfolio Interface Coordinator supports the EIC Portfolio Manager in the coordination, integration, and management of the Electron-Ion Collider (EIC) Portfolio of projects, including Office of Science (SC) Host Lab and Program Engagements that directly contribute to EIC success. This position plays a key role in ensuring that portfolio activities are coordinated, documented, and aligned with EIC objectives, milestones, and Brookhaven National Laboratory’s strategic mission.
The Portfolio Interface Coordinator reports to the EIC Portfolio Manager, with indirect accountability to the Deputy Director for Operations, and works collaboratively with EIC leadership, the EIC Project Leadership Team, the Project Management Center (PMC), project managers, technical leads, and cross-functional teams.
The successful candidate will demonstrate strong coordination, organizational, analytical, and communication abilities, along with the capacity to support integration across multiple technical and operational efforts within a complex scientific environment.
Essential Duties & Responsibilities
Portfolio Coordination and Integration
Support the EIC Portfolio Manager in coordinating the EIC project portfolio, which includes SC Program and SC Host Lab Engagement activities.
Maintain an integrated portfolio-level view of EIC support activities, infrastructure efforts, and dependency scope.
Coordinate inputs from multiple project and program stakeholders to support consistent and accurate portfolio reporting.
Assist in the development of portfolio milestones, schedules, deliverables, and interface activities.
Facilitate communication among stakeholders to ensure alignment of portfolio activities, priorities, and deliverables.
Project Prioritization and Planning Support
Support the preparation and maintenance of portfolio planning documentation, scope information, schedules, and status reports.
Assist portfolio contributors with the development and coordination of scope proposals, planning inputs, and supporting documentation aligned with EIC objectives.
Coordinate with technical, operational, and scientific stakeholders to support integrated planning and execution activities.
Support the identification and tracking of cross-functional dependencies, risks, and opportunities across the portfolio.
Resource, Budget, and Risk Coordination
Support Portfolio-level resource allocation and budget tracking, ensuring that data is accurate and effectively communicated.
Identify potential resource conflicts or risk areas and provide analytical input to the EIC Portfolio Manager for resolution.
Track risk mitigation actions across projects and maintain visibility into cross-cutting dependencies and constraints.
Prepare risk summaries and impact assessments for leadership review.
Support portfolio-level coordination of resource, schedule, and budget information to ensure consistency and visibility across portfolio activities.
Track and maintain portfolio documentation, including Portfolio Breakdown Structure (PBS) information, Records of Decision (RODs), and other configuration-controlled materials.
Assist in monitoring and communicating cross-cutting risks, interface issues, and dependency impacts.
Support the preparation of summaries, plans, reports, and documentation for leadership review and portfolio coordination activities.
SC Program and SC Host Lab Engagement Support
Support the Portfolio Manager when collaborating with SC Program and SC Host Lab Engagement leads and scope owners to implement right-sized project management best practices while ensuring alignment with EIC objectives and milestones.
Assist in maintaining effective communication, documentation, and coordination processes across engagement activities.
Track cost, schedule, and performance data for SC Program Engagements, highlighting interdependencies, risks, and opportunities.
Provide coordination and analytical support to the EIC Portfolio Manager regarding engagement status, readiness, and integration activities.
Stakeholder Communication and Reporting
Prepare and maintain portfolio-level reports, dashboards, status updates, and briefing materials for leadership and stakeholders.
Communicate portfolio status, emerging issues, and coordination needs clearly and effectively to support decision-making.
Facilitate portfolio coordination meetings, workshops, and stakeholder engagement activities.
Promote effective collaboration and information sharing across portfolio participants and organizations.
Process Improvement and Team Collaboration
Significantly contribute to the development and improvement of portfolio coordination processes, reporting practices, and workflow management tools.
Support continuous improvement efforts related to portfolio integration, documentation management, communication, and operational coordination.
Collaborate with portfolio coordinators, project managers, technical staff, and organizational stakeholders to support efficient and consistent workflows.
Promote collaboration, accountability, transparency, and process discipline across portfolio-related activities.
Required Knowledge, Skills & Abilities
Bachelor’s degree in, Science, Engineering, or a related field.
Minimum seven (7) years of progressively responsible experience supporting large scientific, technical, operational, or DOE-related programs requiring stakeholder engagement and related activities within a complex multidisciplinary environment.
Considerable experience supporting documentation management, process improvement, reporting, or workflow coordination activities.
Experience working in highly collaborative technical or operational environment.
Working knowledge of project coordination, portfolio support, documentation management, and organizational integration practices.
Proficiency with Microsoft Office tools, SharePoint, collaboration platforms, and reporting systems.
Strong organizational, analytical, and problem-solving skills with significant attention to detail.
Excellent written and verbal communication skills, with the ability to communicate effectively across technical and non-technical groups.
Collaborative and team-oriented approach, with the ability to build effective working relationships across diverse organizations.
Ability to manage multiple priorities and coordinate activities in a dynamic environment.
Proactive, solution-oriented mindset with strong process discipline and follow-through.
Preferred Knowledge, Skills & Abilities
Project Management Professional (PMP) certification
Working knowledge project planning software such as Microsoft Project, Primavera P6, etc.

Brookhaven National Laboratory is committed to providing fair, equitable and competitive compensation. The full salary range for this position is $113,050 - $158,280 / year. Salary offers will be commensurate with the final candidate’s qualification, education and experience and considered with the internal peer group.
