Bully Pulpit International is an American communications and advertising agency working at the intersection of business, politics and public policy. It plans and buys paid media, produces creative and video content, and runs research and digital campaigns for corporations, foundations, advocacy groups and political campaigns, with offices in the United States and Europe. The company is headquartered in Washington, D.C., United States.

Acting as the operational backbone to BPI Group's European design team, you will be responsible for the end-to-end management, workflow optimisation, and seamless delivery of all creative projects. This role is tasked with structuring creative briefs, managing resource allocation, and balancing competing priorities across multiple offices. The primary objective is to drive operational efficiency, ensure on-time and on-budget delivery of high-impact creative assets, and maintain seamless communication between design teams, client leads, and senior stakeholders. This is a newly created role due to growth across Europe.

Core Accountability Framework

Workflow & Traffic Management - Overseeing the intake, prioritisation, and scheduling of creative briefs across the European design hub to maximise team capacity and prevent bottlenecks.

Cross-Border Operations & Coordination - Serving as the central operational bridge between design colleagues across Europe, as well as internal account and strategy teams.

Resource Allocation & Capacity Planning - Forecasting team workloads, managing freelancer and vendor networks when required, and optimising project timelines to balance speed with creative quality.

Process Standardisation & Delivery Excellence - Implementing best-practice project management frameworks, maintaining asset management systems, and enforcing strict quality control protocols across all deliverables.

Functional Responsibilities

Project Scoping & Workflow Management

  • Act as the primary intake point for design requests across BPI Group, reviewing briefs for clarity, feasibility, and realistic timelines before assigning resources.
  • Develop, maintain, and enforce detailed project plans, milestones, and delivery schedules for pitch decks, social campaigns, editorial reports, and multi-market assets.
  • Monitor day-to-day team bandwidth across Europe, reallocating resources to meet urgent deadlines or pitch requests.

Cross-Border Collaboration & Stakeholder Alignment

  • Drive clear, continuous communication between European design team members, account leads, and senior executives across multiple territories and time zones.
  • Navigate and balance competing expectations, deadlines, and demands from senior leadership across different offices, ensuring clear prioritisation and realistic commitments.
  • Translate strategic agency objectives and client requests into actionable, structured briefs for designers.

Budgeting, Resourcing & Vendor Operations

  • Create a system to track project hours, production costs, and resourcing metrics to ensure creative projects remain profitable and within scope.
  • Manage external creative partners, print vendors, and translators when specialised or overflow capacity is needed.
  • Oversee contract negotiation, onboarding, and purchase orders for external design and production resources.

Quality Control, Process Improvement & Asset Management

  • Enforce rigorous quality assurance checks across all final deliverables to ensure strict alignment with client guidelines and BPI Group brand standards.
  • Continuously recommend and refine agency project management tools, digital asset management systems, and intake templates to streamline team operations.
  • Identify operational bottlenecks across the European creative function and implement proactive solutions to improve speed and overall output quality.

Requirements

  • 5-7 years of experience in Creative Operations, Creative Services, project management, or a similar role within an agency or fast-paced creative environment.
  • Experience developing scopes of work, staffing plans, timelines, and estimates, with a strong understanding of how creative work gets delivered.
  • Strong commercial and financial awareness
  • Experience managing creative workflows and processes from brief through delivery, identifying gaps and helping teams work more efficiently.
  • A strong understanding of creative resourcing, including balancing staff and freelance talent against project needs, timelines, and budgets.
  • Excellent organisational skills with the ability to manage multiple projects, priorities, and stakeholders at the same time.
  • Confidence working closely with Creative, Client Leads, Strategy and Finance teams.
  • A people-first approach to operations - able to bring structure and accountability without creating unnecessary process.
  • A proactive, solutions-oriented mindset with the ability to spot potential issues early and help teams find practical ways forward.
  • Experience with project management, resource management, and financial tracking tools, with an interest in continually improving how teams work.
