Overview of the Role
The Senior Commercial HVAC Purchasing Manager leads purchasing operations, procurement functions, and estimating activities in a fast-paced service environment. This role is responsible for ensuring the organization has the equipment, materials, and vendor support necessary to operate efficiently, effectively, and without interruption.
The successful candidate will manage supplier relationships, negotiate favorable pricing and contractual terms, oversee inventory strategies, direct estimating processes, and drive continuous improvement across procurement operations. This position plays a critical role in supporting operational excellence while positively exemplifying BGIS values through leadership, collaboration, and accountability.

- Annual Salary: $87,477.20 - $131,215.81
- Optimizer Annual Incentive Award: 5%
Time Off & Retirement

Key Duties & Responsibilities
People Leadership
- Recruit, select, develop, and train purchasing and estimating team members.
- Establish performance expectations and provide ongoing coaching and performance feedback.
- Support career development planning and professional growth opportunities.
- Communicate company goals, priorities, policies, and strategic initiatives effectively.
- Collaborate with leadership and team members to establish and communicate priorities.
- Partner with business leaders to define and align departmental objectives.
- Promote knowledge sharing, best practices, accountability, and continuous improvement.
- Lead by example while fostering a positive, high-performing team culture.
- Contribute to additional strategic initiatives and special projects as assigned.
Manage Purchasing Operations & Processes
- Develop inventory and supply strategies that consistently provide quality materials at the lowest total cost while supporting service demands.
- Review and approve purchase orders, invoices, and other procurement-related documents.
- Ensure accurate, competitive, and timely preparation and delivery of customer estimates and proposals while balancing changing priorities and business demands.
- Partner with Operations, Accounting, and other departments to identify equipment and supply needs and evaluate purchasing program effectiveness.
- Oversee procurement team processes for tracking incoming equipment, materials, and supplies while identifying opportunities for process improvement.
- Develop and implement procurement policies and procedures that ensure compliance with internal requirements and industry standards.
- Analyze spending trends and identify cost-reduction opportunities.
- Review parts pricing on a biannual basis and recommend pricing strategies.
- Perform market analysis and develop short- and long-term sourcing strategies with defined risk-benefit assessments.
- Prepare customer communications, supplier correspondence, and procurement updates.
- Drive operational excellence in a fast-paced environment where responsiveness and accuracy are critical to service delivery.
Manage Estimating Operations & Processes
- Direct the preparation and delivery of customer-facing estimates and proposals.
- Establish and implement estimating standards, templates, and quality review processes.
- Develop and maintain standardized estimating tools, cost databases, and historical cost libraries to improve speed, consistency, and accuracy.
- Audit customer estimates and track approval and conversion metrics.
- Review and approve large-scale or high-risk estimates prior to customer submission.
- Ensure estimates accurately include labor, materials, subcontractor costs, equipment costs, overhead, and profitability objectives.
- Conduct post-project reviews and estimate-to-actual analyses to improve future estimate accuracy.
- Collaborate with Sales and Operations leadership to align estimating strategies with business development goals and margin expectations.
- Monitor estimating workload, turnaround times, and win-rate performance to identify continuous improvement opportunities.
Supplier Management
- Develop and maintain strong supplier and vendor relationships to ensure timely delivery of high-quality equipment and materials.
- Negotiate competitive pricing, favorable terms, and supplier agreements that support company objectives.
- Coordinate procurement activities with internal departments and external vendor partners.
- Build and maintain supplier partnerships that support rapid response times, material availability, and operational continuity in a fast-paced service environment.
- Ensure sourced products comply with applicable safety, health, environmental, and quality standards.
- Evaluate supplier performance and implement improvement strategies as needed.
Knowledge, Skills & Qualifications
Required
- Bachelor's degree in Business, Supply Chain Management, Construction Management, Engineering, or a related field; equivalent work experience may be considered.
- Minimum of five (5) years of purchasing or procurement experience with progressive management responsibilities.
- Strong commercial HVAC industry knowledge, including equipment, parts, suppliers, and procurement practices.
- Experience leading or collaborating with estimating teams within facilities services, construction, HVAC, or building maintenance environments.
- Exceptional communication, interpersonal, written, and presentation skills.
- Strong negotiation, analytical, and supplier management capabilities.
- Demonstrated ability to successfully manage multiple projects, competing priorities, and tight deadlines in a fast-paced, high-volume environment.
- Proven ability to make sound business decisions, adapt quickly to changing priorities, and maintain accuracy under pressure.
- Strong leadership skills with the ability to recruit, develop, and retain high-performing teams.
- Expertise in building effective relationships with internal stakeholders, customers, suppliers, and business partners.
- Intermediate proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
Preferred
- Experience with SharePoint and procurement management software.
- ISM Certified Professional in Supply Management (CPSM), NAPM CPM, or similar procurement certification.
- Experience supporting commercial HVAC service, maintenance, and facilities management operations.
