Job Description Summary

Under the general supervision of the Director, BCCHR Facilities or designate, the incumbent performs a variety of shipping, receiving, distribution, mailroom and administrative duties to support the efficient and effective operation of BCCHR Facilities.

Organizational Status

The Shipper/Receiver reports to the Director, BCCHR Facilities, and works closely with the Facilities Coordinator and Facilities Administrative Assistant.

BCCHR Facilities are comprised of over 350K square feet of research space spread out over multiple buildings and serving over 2000 end users.

Also acts as the point contact for facilities & operations related matters. Internal contacts include all levels of staff, faculty and students in all BCCHR buildings and facilities. External contacts include contractors, trades personal, delivery drivers, couriers and suppliers

Work Performed

Working within defined guidelines and procedures under the general supervision of the Director, the Shipper/Receiver exercises judgment to establish priorities and carry the following tasks through to completion:

  • Inspects shipments for damage and ensures prompt delivery or storage of perishable goods as required.
  • Coordinates damaged and incorrect shipments with suppliers and carriers and maintains accurate documentation for same, including invoices.
  • Places weekly orders and accepts delivery for medical and compressed gases, oversees the inventory and monitors the safe handling, storage, labeling, and removal of cylinders and/or chemicals.
  • Sorts, sends, and delivers both internal and external mail; accepts and delivers registered mail and courier deliveries.
  • Uses EPro system to place order for alcohol and dispenses to labs when requested.
  • Coordinates the delivery of heavy/large equipment.
  • Provides assistance with the receipt and shipment of small animals and assists with animal unit deliveries.
  • Arranges the disposal &/or recycling of surplus lab/office equipment as required.
  • Uses the EPro system to place orders for masks, miscellaneous equipment and supplies.
  • Enters requests for building repairs and schedules the maintenance of BCCHR core equipment.
  • Processes requests for new equipment and maintains asset inventory of existing equipment ensuring that all equipment is properly tagged and recorded.
  • As directed investigates new sources for supplies and equipment for administrative & core use.
  • Assists with security of BCCHR buildings including providing first response to facility alarms.
  • Issues keys, control access cards and photo identification for BCCHR staff and facility occupants and contractors. Maintains a spare key inventory database for BCCHR Facilities.
  • As requested uses the PHSA ticket system & liaises with service people to organize internal phone move and the set-up of new phones
  • Maintains cleanliness in all areas associated with shipping and receiving and liaises with Housekeeping to ensure the cleanliness of all BCCHR facilities. Reports to Director when corrective action is needed.
  • Works with the Director and Facilities Coordinator to schedules terminal cleans with Lab Managers when appropriate.
  • Maintains freezer monitoring process ensuring that contact lists are up to date.
  • Coordinates weekly Eway Group Order (Staples) and distributes supplies when order received.
  • Orders, distributes, and replenishes masks at all entrances for the Institute.
  • Other related duties as assigned.

Consequence of Error/Judgement

Breaches in security protocol may result in financial loss through theft and vandalism within the facility. Mishandled deliveries could result in loss of time and money to researchers. Improper disposal or handling of hazardous waste may affect the health of employees and others.

Works under the general supervision of the Director, BCCHR Facilities and is expected to use initiative to complete tasks as assigned.

Preferred Qualifications

High School graduation. Minimum of 2 years related experience or the equivalent combination of education and experience. Ability to communicate effectively verbally and in writing. Ability to deal with others effectively. Physical ability to carry out the duties of the position including moving and lifting heavy objects. Ability to maintain accuracy and attention to detail. Ability to effectively use Microsoft Office Suite at a basic level(e.g., Outlook, MS Word, MS Excel).Strong interpersonal skills. Ability to prioritize and work effectively under pressure to meet deadlines.
