Purchasing Officer | WFO | Clark

Reporting to the Procurement, R & D, ICT Manager, the Purchasing Officer will achieve operational excellence in the purchasing of product through effective communication and liaison between appropriate suppliers and internal stakeholders. The Purchasing Officer will ensure the delivery of suppliers’ products to Allied Pumps in full and on time.

The Purchasing Officer is responsible for accurate and timely purchasing to meet production and project specific needs with a customer outcome focus in mind.

The Purchasing Officer is accountable for compliance of quality processes, procedures, and efficiency, accuracy and promptness of work outputs and assisting other team members to achieve work output targets, however, must consult with the appropriate personnel when considering making changes to processes and procedures, whilst ensuring their safety, behavior, conduct, quality and efficiencies and the safety of others within Allied Pumps or on client’s sites.

All employees will adhere to safety requirements as detailed in policies and procedures, taking all reasonable measures to maintain safe working behaviours. All workers are expected to participate and practice continuous improvement activities and support organisational goals for a lean work environment.

ROLES AND RESPONSIBILITIES

1.Placing orders with suppliers both local and international

2.Tracking orders/shipping time

3.Follow up on outstanding orders

4.Advise appropriate department manager/team leader/coordinator of expected delivery times and arrival

5.Respond to internal requests for purchasing of goods within 24 hours

6.Purchase orders are accurate and completed within a timely manner whilst following set processes and procedures

7.Source new suppliers and create contacts

8.Working with the team to Identify new product and technologies that can be used in production/manufacturing

9.Maintaining working relationships with existing suppliers

10.Negotiating pricing with new and existing suppliers

11.New products and tested and feedback provided from stakeholders before stock holdings are ordered

12.Quality products are sourced and competitive pricing (not necessarily the cheapest product)

13.Conduct and oversee stock takes on a monthly (General Stock) and quarterly (General Stock, Goods in Transit/GIT, Work in Progress/WIP, Overseas Stock, Manufactured Stock) basis

14.Checking supplier accounts for accuracy and following up discrepancies with suppliers until resolution is achieved

15.Authorising supplier accounts for payment

16.Reporting defective products to suppliers

17.Creating and following up on credit requests/notes

18.Weekly purchasing report is sent via email by close of business each Friday

19.Monthly stock take report is sent via email by close of business the 7th day of each month

20.Quarterly stock take report is sent via email by close of business the 7th day of January, April, July and October

Qualifications

ESSENTIAL SKILLS, ATTRIBUTES AND EXPERIENCE

Education/Certificates:

·Certificate IV in Purchasing (or equivalent qualification or experience)

Experience and Knowledge:

·Strong interpersonal skills and an ability to successfully communicate and liaise with people at all levels, both internal and external to Allied Pumps.

·Demonstrated organisational skills with the ability to use Initiative and prioritise effectively

·High level of accuracy and attention to detail

·Well-developed problem-solving skills

·Highly developed organisation and administrative skills

Desirable Experience and Knowledge:

·Previous experience with pump production

Software Knowledge Requirements:

·MS Suite (Word, Outlook, Excel, Project)
