Job Summary
The Service Coordinator runs scheduling, dispatch, and customer schedule communications for the Company’s service division. This role owns the service schedule: routing incoming service calls to the right team, scheduling in advance, dispatching technicians, handling emergency dispatches and last minute changes, keeping customers in the loop, and working with our superintendents, and Testing Lead to make sure manpower is allocated where it is needed most. The Service Coordinator also coordinates with service team members, including the Superintendents and account manager on special logistics and equipment for service projects and makes sure every technician has building access arranged before they arrive on site.
Essential Functions
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Service Call Intake, Dispatch, and Customer Communication
- Manage incoming service calls and route them to the right team based on the type of work, urgency, and customer.
- Manage technician dispatch and make sure every dispatch goes out with complete job information.
- Communicate directly with customers to set up service and testing schedules, confirm visits, and keep customers in the loop at all times.
- Handle last minute changes in technicians and schedules, and coordinate last minute details between technicians and customers so the right technicians are in the right place at the right time.
- Set priorities when demand is higher than capacity, and work with the superintendents to decide what moves when schedules conflict.
- Handle emergency dispatches and make sure after hours calls are covered and dispatched quickly.
Scheduling and Manpower Resourcing
- Own the service schedule and keep it accurate so everyone knows where every technician is committed.
- Build advance schedules for preventative maintenance, testing, and service work in coordination with the overall technician schedule and each customer's schedule.
- Send schedule reminders to superintendents, technicians, and customers a few weeks before each job, and again a few days before.
- Confirm every upcoming job is on the dispatch calendar days before it starts, with technicians, access, and job information in place.
- Work with the General Superintendent, superintendents, and the Testing Lead to assign technicians based on their technical capabilities and allocate manpower across service calls, projects, and testing work.
- Set the weekly manpower schedule, balancing day to day service call demand against project commitments.
- Spot resource conflicts and capacity gaps ahead of time and raise them before they affect customers.
Project Logistics Planning
- Plan the logistics for service projects, including equipment, lifts, rentals, and tools.
- Coordinate delivery and staging timing so crews show up with everything they need to start work.
- Work with our operations support team on materials and vendor timing that affect the project schedule.

- Manage badge requests, issuance, and returns in line with each customer's security requirements.
- Stay current on each site's access procedures and make sure the team follows them every time.
Qualifications and Skills
- Strong scheduling and resource planning skills across many jobs and people at once.
- Calm, decisive, and organized when priorities shift quickly.
- Clear communication with technicians, superintendents, account managers, and customers, including by phone and email when schedules change.
- Comfortable working in scheduling, ERP, and CRM systems.
- Understanding of field service work and what crews need to execute a job.
Required Education and Experience
