The Role

We are looking for a Department Assistant to provide administrative support to the Benefits, Compensation, and Member Services teams and white-glove service to members. The individual must be comfortable working with people in a variety of roles both within and outside of the company. This is an excellent opportunity for someone interested in growing and expanding their knowledge of both the compensation and benefits functions. This hybrid position requires onsite presence four days a week or more, as mandated by the business.

Responsibilities

Providesdepartmentadministrative support toBenefits, Compensation and Member Serviceteams. Responsibilities include:

  • Managescalendars and phones for all assigned executiveson the team, setting up and managing meetings, reserving conference rooms,greetingand directing visitors, etc.

  • Handles internal and external requests for meetings,utilizingstrong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities.

  • Schedules travel,processes expense reports, and invoices,andcoordinateslogisticsfor teammeetings, and events.

  • Receivesinquiries from CAA Members and either handles questions, or routes to theappropriate teammember.

  • Responds to questionssubmittedthrough the HR general phone line, related to routine questions on benefits and compensation policies.

  • Periodically provides administrative support to the Global SVP of Compensation and Benefits when they are working inperson inthe Los Angeles office (approx.onceper month).

  • Collects,reviewsand analyzes data and prepares reports, charts, budgets, and other presentation materialsutilizingWorkday, the Microsoft Office Suite, specifically Word, Excel and PowerPoint, and specialized software.

  • Compiles statistics and distributes reports or other communications on a regular schedule.

  • Maintains files, databases, and archives of relevant documents and records, and manages version control.

  • Creates, proofreads, formats, prints and assembles confidential meeting materials.

  • Ensures deliverable are error free and on time.

  • Performs other duties assigned, as needed.

Qualifications

  • Associate’s degree or equivalent relevant experience required.

  • 1 -3+years’ofadministrative support experience, preferably in Compensation, Benefits, Member Services, or a relatedCorporatedepartment.

  • Experience providing administrative support to multipleexecutivesand team members.

  • Demonstrated ability to effectively interact with senior-level executives and their assistants and coordinators.

  • Demonstrated ability tomaintainstrict confidentiality in handling and preparing sensitivecompensation, benefits, or member servicesdocuments,presentationsand reports.

  • Possess excellent customer servicemindset, strongverbaland written communication skills.

  • Must behighly organized,resourcefulandpossessgood judgment.

  • Interest in working in and learning about areas such as compensation,equity,benefits, HR operations, etc.

  • Intermediate or advanced levelproficiencyworking in Microsoft Office Suite, specifically Word,Exceland PowerPoint.

  • Professional & proactive demeanor, detail oriented andpossesssuperior organizational skills.

  • Must be able to work independently in a fast-paced and team-oriented department.

  • Must be able tojuggle multiple competing priorities in a fast-paced, deadline-driven environmentandbe able to quickly adjust to new priorities and circumstances.

Location

This position will be based in our LA office with a minimum of 4 days a week in the office.

Compensation

The base hourly rate for this position is in the range of $28.00-$33.00. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria. Please talk with a CAA Recruiter to learn more.
