Role Type: Full-time

Department: People & Operations

Base Pay: $50,000 - $55,000

ROLE OVERVIEW

Dazed Studio is looking for a highly organized, proactive, and personable Studio Assistant to join our US team.

This role will play an integral part in the day-to-day operations of our New York studio, providing administrative and operational support across people operations, office management, and the wider business.

As a central point of contact for our team, the Studio Assistant will help ensure that our people, processes, and physical workspace are organized, supported, and running smoothly. From coordinating employee onboarding and internal events to managing office logistics and supporting executive schedules, this is a varied, hands-on role that requires strong attention to detail, initiative, and the ability to balance multiple priorities.

The ideal candidate is a natural problem-solver who enjoys supporting others, takes pride in creating an organized and welcoming working environment, and is comfortable working across different teams in a fast-paced, creative business.

WHAT YOU'LL DO

Studio & Office Operations

  • Support the day-to-day running of the Dazed US office, ensuring the studio remains organized, functional, and welcoming for employees, clients, and visitors.

  • Act as the primary point of contact for building management, front desk, cleaning and hospitality teams, coordinating office maintenance, repairs, deliveries, and other operational requirements.

  • Welcome guests and visitors to the studio, coordinating with relevant team members and ensuring meeting spaces are prepared for internal and external meetings.

  • Manage office supplies, equipment, refreshments, and other day-to-day needs, including purchasing, inventory management, and tracking associated expenses.

  • Coordinate office deliveries, shipments, courier services, and other logistical requirements.

  • Support the organization and implementation of office improvements, workspace changes, and other studio-related projects.

  • Help maintain internal office processes, resources, and documentation to ensure information is accurate, accessible, and up to date.

People Operations & Employee Experience

  • Provide administrative and logistical support across the employee lifecycle, including onboarding, offboarding, and general people operations.

  • Coordinate new hire onboarding requirements, including employee access, IT equipment, email accounts, workspace preparation, and introductory meetings with relevant team members.

  • Support employee offboarding processes, coordinating the return of equipment, removal of building access, and other administrative requirements.

  • Help organize internal team activities, including team lunches, celebrations, cultural outings, employee events, and other initiatives that contribute to a positive and connected studio culture.

  • Help maintain employee resources, internal handbooks, contact lists, and other operational documentation.

  • Provide day-to-day administrative support to the People & Operations team, helping coordinate internal processes, communications, and employee-related initiatives.

  • Act as an approachable and reliable point of contact for employees, helping address everyday office and operational questions and directing requests to the appropriate team members.

Executive & Business Administration

  • Provide administrative support to the US leadership team, including diary management, scheduling, and meeting coordination, with particular support for the Managing Director.

  • Coordinate internal and external meetings, including calendar invitations, meeting logistics, room bookings, and communication with relevant stakeholders.

  • Assist with preparing meeting agendas, taking meeting notes, and tracking or circulating action items and follow-ups as needed.

  • Support executive travel arrangements, including transportation, accommodation, itineraries, and related logistics.

  • Assist with expense reporting, invoice processing, vendor coordination, and tracking of general business and office expenses in collaboration with the Finance team.

  • Maintain internal operational documents, trackers, contact lists, and shared resources to support the efficient running of the US business.

  • Provide general administrative and organizational support across departments, helping coordinate internal requests, deadlines, and operational priorities.

  • Support ad hoc operational and administrative projects as business needs evolve.

WHAT WE'RE LOOKING FOR

  • 0-3 years of relevant experience in an administrative, office coordination, operations, or executive support role, ideally within a creative, media, or agency environment.

  • Exceptionally organized, detail-oriented, and reliable, with the ability to manage multiple priorities and follow tasks through to completion.

  • A proactive, resourceful, and solutions-oriented approach, with the confidence to take ownership of day-to-day responsibilities and anticipate the needs of the team.

  • Strong interpersonal and communication skills, with a friendly, approachable, and professional manner.

  • Comfortable supporting senior leadership and interacting with employees, clients, and external partners across different levels of the business.

  • Demonstrated discretion and professionalism when handling confidential information and employee-related matters.

  • Strong time management skills and the ability to prioritize effectively in a fast-paced, evolving environment.

  • Confident working with Google Workspace, Microsoft Office, and Apple Mac systems, with a willingness to learn new tools and processes.

  • A collaborative, flexible, and hands-on attitude, with the willingness to support a wide variety of operational and administrative needs.

  • An interest in Dazed Media, our creative vision, and the culture and industries in which we operate.

WHAT YOU'LL GAIN

  • Firsthand experience supporting the operations of an international creative media business.

  • Exposure to people operations, business administration, and executive support within a dynamic, collaborative environment.

  • Opportunities to take ownership of internal initiatives and contribute to the development of studio processes and employee experience.

  • The opportunity to work closely with experienced creative and business leaders across Dazed Media.
