About the role

  • DESRI is seeking a highly organized, proactive, and service-oriented Administrative Office Assistant to support the day-to-day operations of our growing Houston office while providing administrative support to members of our leadership team. This position is structured as a six-month Long-Term Assignment (LTA).
  • This individual will report to the Executive Assistance Team Lead and work closely with the Head of Asset Management in Houston to support local office needs and administrative priorities. The role combines hands-on office management, employee experience, and executive-level administrative support, including scheduling, travel coordination, expense reporting, and meeting logistics.
  • The ideal candidate is resourceful, adaptable, and comfortable balancing a variety of responsibilities, from keeping the office running smoothly to supporting senior leadership. This is a fully on-site role requiring five days per week in our Houston office.
  • Successful candidates are dependable, resourceful, and energized by supporting others. They take ownership of the day-to-day office environment while providing thoughtful administrative support to leadership. They anticipate needs, manage competing priorities, and are equally comfortable coordinating executive schedules and rolling up their sleeves to keep the Houston office running smoothly.

What you'll do

Office Operations & Employee Experience

  • Serve as the primary point of contact for the Houston office, creating a welcoming, professional, and well-organized environment for employees and visitors.
  • Manage daily office operations, including pantry and office supplies, conference room readiness, mail, shipping and receiving, and general office upkeep.
  • Coordinate visitor registrations, catering, meetings, office events, and employee engagement activities.
  • Serve as the primary liaison with building management, vendors, and internal teams to address facilities, maintenance, equipment, and other office-related needs.
  • Partner with Human Capital and IT to support new hire onboarding, workspace preparation, building access, and office orientation.
  • Proactively identify and address office needs, improve processes, and support the evolving requirements of the growing Houston team.

Administrative Support

  • Provide administrative support to the Head of Asset Management and other designated members of leadership, including calendar management, scheduling, travel coordination, and expense reporting.
  • Coordinate internal and external meetings, leadership engagements, and team events, including agendas, materials, presentations, and logistics.
  • Prepare and maintain correspondence, reports, presentations, and other business documents, exercising discretion when handling confidential information.
  • Coordinate document execution, electronic signatures, notarizations, and other administrative requests; obtain a Texas Notary Public commission within the first month of employment (company-sponsored).
  • Partner with the broader Executive Assistance team to provide backup coverage for other executives and team members, including during planned and unplanned absences, and assist with special projects as needed.

Qualifications

  • Bachelor's degree preferred.
  • 2+ years of professional experience in administrative support, executive assistance, office management, or a similar role, ideally in a fast-paced corporate environment.
  • Strong organizational, time management, and multitasking skills, with the ability to manage competing priorities and work independently.
  • Excellent written and verbal communication skills, with a professional, service-oriented approach.
  • Sound judgment, discretion, and the ability to handle confidential information appropriately.
  • Proficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint; familiarity with Teams, Concur, DocuSign, and other productivity tools preferred.
  • Proactive, resourceful, and detail-oriented, with a willingness to take initiative and help wherever needed.
  • Ability to occasionally lift up to 50 pounds and flexibility to support meetings or events outside standard business hours as needed.
  • Ability to be in the office 5 days a week and flexibility to occasionally work outside of standard business hours to support meetings or events.
  • At DESRI, we consider a wide range of factors to determine your compensation. We rely on market indicators and consider your specific job family, background, location, skills, and experience. The expected annual base salary for this position is $65,000 to $75,000, depending on experience.
  • Our compensation and benefits package includes variable compensation in the form of a year-end bonus, guaranteed in the first year of hire, and benefits including medical and prescription drug coverage, 401(k) contribution matching, paid time off, wellness reimbursement, family building benefits, and a charitable gift match program.
