About the Role
As Personal Assistant to the Managing Director Germany, you will provide proactive, high-quality executive support, ensuring the effective management of priorities, schedules, communications, and business activities. You will act as a trusted partner, enabling the Managing Director to focus on strategic objectives while maintaining smooth day-to-day operations.
Key responsibilities include:
Manage a complex and frequently changing calendar, prioritising meetings and business commitments.
Coordinate domestic and international travel arrangements, including itineraries, accommodation, transportation, and visa support where required.
Prepare agendas, presentations, reports, briefing materials, and meeting documentation.
Organise leadership meetings, town halls, customer visits, and business events.
Screen and manage correspondence, ensuring timely responses and appropriate follow-up actions.
Track actions arising from meetings and support execution of key business priorities.
Build strong relationships with internal and external stakeholders across all levels of the organisation.
Support budget administration, purchase orders, expense management, and other administrative requirements.
Maintain confidentiality when handling commercially sensitive and personal information.
Collaborate with wider administrative and business support teams to drive operational efficiency and best practice.
About You
Significant experience in a Personal Assistant, Executive Assistant, or senior administrative support role.
Experience supporting a Managing Director, Country Manager, or equivalent senior executive.
Exceptional organisational and prioritisation skills with the ability to manage competing demands.
Strong written and verbal communication skills in German and English.
High attention to detail and strong administrative discipline.
Advanced proficiency in Microsoft 365 applications, including Outlook, PowerPoint, Word, and Excel.
Proven ability to handle confidential information with discretion and professionalism.
Strong stakeholder management skills and the confidence to engage with senior leaders.
Desirable
Experience working within a fast-paced international organisation.
Experience coordinating leadership events and large-scale business meetings.
Understanding of corporate governance and executive office processes.
Experience supporting cross-functional business initiatives and projects.
