Description

This temporary position will assist the Events Department at The Carter Center with event planning, implementation, setup, correspondence, invoice processing, and contract management. This position will be full-time (40 hours weekly) for 3 months, starting September 22, 2026. The regular work schedule is 7:00 a.m. to 3:30 p.m.; however, work hours may vary, such as 6:30 a.m.- 3:00 p.m., depending on the day. This position must be available to work varying hours to meet the client’s needs, including evenings and weekends, and to work overtime as required.

Anticipated start and end date: September 22, 2026 - December 22, 2026

Specific Duties:

Events Coordination:

  • Provides logistical support to both internal and external clients in planning and implementing meetings, large conferences, receptions, dinners, weddings, and other events at The Carter Center facilities, which involve evening and weekend work.
  • Works closely with clients to ensure expectations are met to create a memorable event.

Events Set-Up:

  • Responsible for performing room set-up and breakdown and will assist the Events office staff as needed.
  • This may include setting up tables, chairs, and audiovisual equipment for events.
  • Moves, lifts, and hauls furniture, boxes, tables, chairs, staging materials, and event-related items.
  • Regularly works with exclusive vendors to adjust/fine-tune room set-ups to best meet client needs.

Correspondence & Inquiries:

  • Receives and screens incoming written correspondence and telephone calls.
  • Screens those calls and correspondence that can be routinely handled and responds accordingly. Forwards remaining correspondence to their supervisor, along with the necessary background information.

Invoices & Contracts:

  • Submits invoices, reimbursements, and expenses to Unit4 and tracks processing.
  • Assists in the preparation of event and vendor contracts.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or the combination of a high school diploma (or equivalency) and five years of administrative support or secretarial experience.
  • Proficiency with Microsoft Office including PowerPoint, Outlook and Excel.
  • Experience with collaboration tools (OneDrive, Zoom, Teams, and/or others).

Preferred Qualifications:

  • Bachelor’s degree or a high school diploma and experience in planning, coordinating, and conducting special events or an equivalent combination of education, training, and experience.
  • Candidate must have a valid Georgia Driver’s License and an insurable driving record.
  • Candidate must be able to lift 75+ pounds.
  • Familiarity with The Carter Center and its facilities preferred.
  • Excellent interpersonal and customer service skills.
  • Strong written and verbal communication skills.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. All non-exempt employees must reside within the State of Georgia.
