We’re looking for an Executive Assistant to support (2) of Figma’s Sr. Directors, Sales - LATAM + DACH. This role strategically manages the day-to-day administrative and operational needs of the LATAM + DACH businesses, while also contributing significantly to projects and initiatives that help drive the company’s priorities.

We are looking for an experienced Executive Assistant who has supported at a VP level in complex global markets. 

This is a full-time role based in our São Paulo hub and requires fluency in both Portuguese and English.

What you’ll do at Figma:

• Manage Sr. Directors’ calendars, meetings, expenses, and business travel arrangements
• Brief and prepare Sr. Directors ahead of key meetings, calls, and events, including confidential reports and materials
• Coordinate Senior Management meetings, including agendas, materials, action items, and follow-up
• Lead planning and execution of monthly and quarterly meetings and in-person leadership offsites, coordinating content, slides, venues, and stakeholders
• Build executive materials using Figma, Figma Slides, and FigJam
• Act as a key liaison between Sr. Directors, their leadership teams, and the wider LATAM + DACH teams
• Work alongside the Sales EA team and greater EA team to provide some support for logistics of internal events, team offsites and external events
• Evolve and create processes for efficiency and global alignment

We'd love to hear from you if you have:

• 4+ years of experience in an administrative or support role
• Fluent in both Portuguese and English, with strong communication skills across a wide range of stakeholders
• Thrive in fast-paced environments and adapt quickly to changing priorities and demands
• Expert at prioritizing, anticipating needs, and handling sensitive information with discretion and confidentiality
• Bring a positive, reliable approach and foster an inclusive environment where others can thrive

While it’s not required, it’s an added plus if you also have:

• Previous experience supporting customer facing teams and/or sales
• Experience supporting senior leadership at fast paced SaaS companies
