What You Will Do:
The Executive Administrative Assistant provides executive administrative support to a member of the Operations Leadership Team / Vice President and Executive Team of the Operational Excellence organization. You will be:
- Managing complex and frequently changing calendars, meetings, appointments, and leadership commitments. Proactively identify scheduling conflicts and recommend solutions based on business priorities.
- Preparing leaders for meetings by coordinating agendas, materials, presentations, and required pre-work. Arranging catering for internal and external meetings.
- Coordinating domestic and international travel arrangements, itineraries, and related logistics as needed.
- Processing and reconciling invoices, expense reports, and related documentation, ensuring timely and accurate submission in accordance with company policies and procedures.
- Screening/fielding incoming inquiries, scheduling requests, and provide timely responses, as well as direct items to appropriate individuals for action and/or informational purposes. Coordinating confidential and sensitive information with a high degree of discretion.
- Managing electronic distribution lists and organizational charts, confidential information and material on a regular basis, management and organization of executive email, supplies for the department, ordering and organizing as necessary.
- Ensuring shared spaces are organized and maintained to support leadership activities. Monitoring office supplies, equipment, and materials; maintain appropriate inventory levels and coordinate replenishment, as needed.
- Partnering with Executive Administrative Assistants across Operations, Quality, Engineering, and Programs Leadership to establish clear communication and coverage for one another, as required.
- Have flexibility for occasional off shift work as needed for events and surges
Qualifications You Must Have:
- Associates degree with at least 8 years of executive administrative support experience OR in absence of a degree, 10 or more years of executive administrative support experience
- Advanced proficiency in Microsoft Office 365 (Outlook, PowerPoint, Excel, Word, etc.)

The salary range for this role is 60,000 USD - 114,000 USD. The salary range provided is a good faith estimate representative of all experience levels.
