Greencross Vets Aitkenvale is seeking an experienced Client Care Coordinator to join our friendly, long-standing team.

This is a fantastic opportunity for someone with previous experience in the veterinary industry who loves building relationships with clients, thrives in a busy environment, and enjoys being the person who keeps everything running smoothly at the front of the clinic.

We are open to both part-time (3 days per week) and full-time applicants, and we're looking for someone who can confidently manage reception operations, coordinate appointments and client communication, and provide outstanding customer service to our clients and patients.

About the Role

As the Client Care Coordinator, you'll be the heart of the client experience and play a key role in ensuring the clinic operates efficiently and smoothly.

This role will suit someone who genuinely enjoys working with people, thrives on organisation, and understands the unique flow of a busy veterinary clinic.

Your responsibilities will include:

• Managing the day-to-day operation of the reception area
• Coordinating appointments, bookings, and daily schedules
• Greeting clients and patients and creating a welcoming clinic experience
• Handling client enquiries in person, over the phone, and via email
• Managing admission and discharge paperwork
• Processing payments and managing accounts
• Coordinating client communications and follow-up appointments
• Supporting workflow between reception, nursing, and veterinary teams
• Assisting with client education and preventative healthcare reminders
• Supporting inventory ordering and administrative tasks as required
• Maintaining accurate client and patient records
• Helping ensure exceptional customer service is consistently delivered

This is a role where strong organisation, attention to detail, and relationship-building skills are essential.

About You

We're looking for someone who:

• Has previous experience working within the veterinary industry
• Has experience in veterinary reception, client care, practice administration, or a similar role
• Understands veterinary terminology and clinic workflows
• Has proven reception and customer service experience
• Is confident coordinating appointments and managing competing priorities
• Demonstrates excellent communication and relationship-building skills
• Is highly organised and detail-oriented
• Can remain calm and professional in a busy environment
• Enjoys working collaboratively with veterinarians, nurses, and clients
• Has experience using veterinary practice management software such as RxWorks (highly regarded)
• Brings a positive, proactive, and team-focused attitude
