We are seeking a motivated, detail-oriented Events & Experiences Intern to support the planning and execution of investor conferences, executive-led initiatives, and employee engagement programming. This is a hands-on opportunity to learn end-to-end event production inside a fast-paced, high-touch corporate environment, from early-stage planning through on-site delivery and post-event reporting. The ideal candidate thinks like a host, not just an organizer, and takes pride in getting the details right. This is a part-time internship, approximately 15 to 30 hours per week, designed to provide administrative, logistical, and project coordination support to the Events & Experiences program.

Responsibilities:

    Event Planning & Logistics Support

  • Support end-to-end planning for investor conferences, executive-led initiatives, and internal firm events, including venue research, scheduling, and run-of-show development
  • Build and maintain event timelines, checklists, and task trackers to keep planning on schedule
  • Assist with venue and vendor research (catering, décor, A/V, entertainment) and help evaluate options against event requirements
  • Assist with logistics coordination for select investors, executive, and employee events, including attendee communications, reservations, and event materials
  • Maintain event management platforms for registration, RSVPs, and attendee tracking
  • On-Site Execution & Attendee Experience

  • Support on-site setup and breakdown, including seating, signage, branded materials, and event equipment
  • Staff registration and check-in, ensuring a seamless, white-glove welcome for investors, executives, and attendees
  • Serve as an on-the-ground point of contact during events, troubleshooting issues in real time and escalating as needed
  • Coordinate with venue staff, vendors, and internal teams to ensure smooth, detail-perfect execution
  • Assist with gifting, hospitality touches, and personalization details that elevate the guest experience
  • Vendor & Budget Coordination

  • Assist with vendor outreach, contract tracking, and confirmations across venders
  • Assist with organizing event expenses, invoices and supporting documentation
  • Maintain organized vendor and venue files to support institutional knowledge and future planning
  • Administrative Support

  • Help produce event collateral, signage, and branded materials consistent with Harrison Street’s visual identity
  • Assist with meeting coordination across stakeholder groups
  • Maintain accurate records, contact lists, and shared event resources across Teams/SharePoint
  • Support special projects and other duties as assigned by the Events & Experiences team
  • Other duties as assigned.

Requirements:

  • Currently pursuing or recently completed a bachelor’s degree in hospitality, Event Management, Marketing, Communications, or a related field
  • Prior internship, part-time, or volunteer experience supporting events, hospitality, or client-facing programs preferred
  • Highly organized with strong attention to detail and follow-through
  • Excellent written and verbal communication skills; comfortable interacting with senior stakeholders and external attendees
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with AI or project management tools is a plus
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Discretion and professionalism when handling confidential or high-visibility information
  • Willingness to work occasional evenings or weekends and travel locally to support on-site events
  • Thinks like a host, anticipates needs before being asked
