Job Summary
The Global Hardware Asset Management Manager will own and govern end-to-end hardware asset management services for Allianz across global locations. The role is responsible for lifecycle control from demand forecasting, catalog and order management, procurement coordination, receipt and deployment through IMAC activities, inventory reconciliation, refresh, recovery, reuse, lease return, retirement and secure disposal. The incumbent will act as the principal HAM subject-matter expert and service interface among Allianz central functions, Operating Entities, Local Service Managers, country HAM contacts, HCLTech delivery teams, hardware suppliers and logistics partners. The role will ensure contractual service delivery, reliable asset records, audit readiness, cost control, data protection, operational resilience and continuous service improvement. The operating model will maintain clear visibility of what assets are owned, their assigned user or custodian, location and lifecycle status.
Key Responsibilities
- Own the global Allianz HAM service, operating model, roadmap, controls, operating procedures, governance calendar, service improvement plan and stakeholder communications.
- Manage the complete hardware lifecycle for end-user, workplace, network, telecom and data-centre assets, including request, approval, ordering, receiving, tagging, stockholding, assignment, movement, repair, refresh, recovery, reuse, lease return, retirement and disposal.
- Maintain the authoritative asset register and ensure timely, complete and accurate records for asset ID, serial number, model, configuration, ownership, custodian, location, cost, purchase and warranty details, lease status and lifecycle state. Apply standard data-quality rules, duplicate prevention and regular completeness reviews.
- Reconcile HAM, discovery, endpoint-management, procurement, finance, warehouse, HR, ITSM and CMDB data; investigate and close unmatched, duplicate, missing or stale records.
- Plan and conduct monthly country-level controls, quarterly sample checks and periodic full physical inventory reconciliations; retain evidence and drive corrective actions to closure.
- Deliver contractual KPIs and SLAs, including the required asset-record accuracy target, order and deployment performance, stock availability, recovery, ageing, reconciliation, disposal and audit-remediation metrics.
- Establish country and Operating Entity governance with Allianz central stakeholders, Local Service Managers, HAM SPOCs and service partners; conduct weekly operational reviews and monthly service and audit governance.
- Manage demand forecasts, minimum and buffer stock, ageing inventory, refresh plans, end-of-life and end-of-support exposure, warranty coverage and supply constraints across Allianz locations.
- Coordinate hardware OEMs, suppliers, warehouses, couriers, dispatch vendors and IT asset disposition partners; monitor purchase orders, deliveries, returns, proof of delivery, lease obligations and supplier performance.
- Ensure controlled employee onboarding, moves and exits, including handover evidence, user acknowledgement, asset recovery, lost or missing asset escalation and timely record updates.
- Ensure that retired assets undergo approved data sanitisation, chain-of-custody control and environmentally compliant disposition, supported by serialised certificates and audit evidence. Maintain traceability for physical access, lifecycle transitions and disposal activities.
- Identify operational, financial, security, privacy, supply-chain and compliance risks; maintain risk, issue and action logs and escalate material exceptions to Allianz and HCLTech leadership.
- Produce monthly service reports, executive dashboards, forecasts, audit packs and improvement recommendations; use trend analysis to reduce loss, excess inventory, avoidable purchases and lifecycle cost.
- Lead, coach and direct the global HAM team, clarify country responsibilities, monitor capacity and quality, and ensure adherence to documented controls and segregation of duties.
Skill Requirements
- 10-12+ years of IT asset management experience, including substantial ownership of global or multi-country HAM operations in a large, regulated enterprise.
- Demonstrable expertise in hardware lifecycle management, inventory control, asset reconciliation, forecasting, warehouse and stock management, lease management, supplier governance and secure disposal.
- Proven experience transitioning end-to-end HAM services from a customer or incumbent provider to a managed service organisation.
- Strong knowledge of ITIL and ITSM processes and the relationships among incident, request, change, configuration, procurement, finance, HR and asset management.
- Hands-on understanding of enterprise ITSM, CMDB, HAM and discovery platforms, together with SCCM/MECM, Microsoft Intune or equivalent endpoint-management tools.
- Advanced Microsoft Excel and data-analysis capabilities; ability to interpret large datasets, detect anomalies, build reconciliations and present meaningful operational and executive insights.
- Strong commercial understanding of purchase agreements, warranties, leases, asset depreciation, chargeback, vendor invoices and total lifecycle cost.
- Working knowledge of information-security, data-protection, audit, records-retention and secure media-sanitisation controls relevant to a global financial-services environment.
- Excellent governance, customer management, negotiation, presentation and senior-stakeholder communication skills across global and multicultural teams.
- Proven people leadership, prioritisation, decision-making, problem-solving and delivery under pressure across multiple concurrent workstreams.
- Relevant HAM, ITAM or ITIL certification is preferred; technical certifications aligned to supported technologies are advantageous.
Other Requirements
- Primary delivery location: India, with responsibility for Allianz global locations and the ability to collaborate across European and other international time zones.
- Valid passport and willingness to travel within and outside India for transitions, governance, supplier reviews, audits and service-recovery activities.
- Flexibility to support critical operational events, audit deadlines, stock shortages, country escalations and major transition milestones outside normal working hours.
- Ability to work with Allianz central functions, Operating Entities, country stakeholders and third parties while respecting confidentiality, data-protection, security, compliance and contractual obligations.
- Customer-focused, impartial and accountable approach, with high attention to detail and a strong ownership mindset.
- Business-level written and spoken English is required; additional European-language capability is advantageous for multi-country stakeholder engagement.
- Successful completion of applicable background verification, access approvals, mandatory compliance training and customer-specific onboarding requirements.
