Description

Graham Management Company is looking for an experienced Community Manager to take ownership of a portfolio of community associations. You'll be the primary point of contact between the Board of Directors, homeowners, vendors, and legal counsel. The point of contact person your Boards trust to already have the answer before they have to ask for it.

Whether your background is in single-family HOAs, townhome communities, or master-planned associations, we're looking for a manager who brings strong financial judgment, a calm presence in the boardroom, and genuine follow-through to every community in their portfolio.

Key Responsibilities

  • Serve as the primary liaison between the Board of Directors, homeowners, vendors, legal counsel, and other community partners.
  • Maintain proactive, consistent communication with Boards by providing regular updates on projects, violations, financials, vendor activity, and homeowner concerns before they have to ask.
  • Prepare and distribute board meeting packages, agendas, financial reports, and supporting materials in advance of each meeting.
  • Attend and facilitate Board, annual, budget, and committee meetings; ensure minutes and action items are documented and distributed promptly.
  • Lead annual meeting preparation, including notices, ballots, proxies, candidate materials, and elections, in compliance with governing documents and statutory requirements.
  • Review monthly financials: income statements, balance sheets, budget-to-actual and delinquency reports and flag variances, cash-flow issues, or collection concerns early.
  • Prepare draft annual budgets each season, factoring in contracts, utilities, insurance, reserve needs, and historical expenses, and guide Boards through review and approval.
  • Conduct property and common-area inspections to catch maintenance, landscaping, safety, and compliance issues before they become bigger problems.
  • Oversee covenant enforcement and architectural review processes in line with governing documents, Board policy, and applicable Texas law.
  • Solicit vendor proposals, manage contracts and projects from approval through completion, and hold vendors accountable to scope and timeline.
  • Respond to homeowner and Board inquiries within a 24-hour window, providing real answers or a clear timeline when more research is needed.
  • Maintain accurate community records, calendars, and action-item tracking across your portfolio.

Requirements

Required Qualifications

  • 2+ years of experience as a Community Manager, HOA Manager, Community Association Manager (CAM), or Portfolio Manager.
  • Experience managing single-family HOAs, townhome associations, condominium associations, or master-planned communities.
  • Strong understanding of association governance, budgeting, financial reporting, vendor management, and board relations.
  • Confidence facilitating board meetings and advising volunteer Boards of Directors.
  • Financial literacy and the ability to read and explain association financial statements.
  • Excellent written and verbal communication, organization, and time-management skills.
  • Ability to manage multiple communities and competing deadlines with strong follow-through.
  • Valid driver's license and reliable transportation for travel between communities.
  • Eligibility to work in the United States.
  • Availability for evening Board and annual meetings, with the ability to respond to occasional urgent community matters.

Preferred Qualifications

  • CMCA certification, or willingness to obtain one within a timeframe set by Graham Management.
  • AMS or PCAM designation.
  • Familiarity with Texas community association laws and governing documents.
  • Experience with CINC or similar community association management software.
  • College education preferred; high school diploma or equivalent required.
