Program Operations Coordinator

We’re looking for a highly organized, proactive, and communicative Program Operations Coordinatorto support one of our large international client engagements.

You will work within a complex program involving multiple teams and workstreams, collaborating closely with Delivery Managers, Team Leads, Business Analysts, engineers, and client stakeholders.

Your focus will be on making the wider program run smoothly: keeping teams aligned, information organized, operational activities coordinated, and administrative processes finished and under control.

What you'll do:

• Support coordination across multiple teams and workstreams on administrative and organizational topics.
• Maintain (Document) a clear understanding of the program structure, teams, responsibilities, key contacts, systems, and ways of working.
• Help Delivery Managers, Team Leads,and other stakeholders when there is a need to synchronize activities that span multiple teams.
• Act as a reliable point of coordination for recurring program-wide administrative and operational topics.
• Coordinate the onboarding of new IWConnect teammembers into the client program.
• Introduce new colleagues to the program structure, workstreams, key contacts, systems, communication channels, processes, and available documentation.
• Coordinate client-side onboarding activities, including account requests, system access, permissions, team memberships, and required communication with client representatives.
• Coordinate operational activities when team members change roles, move between streams, or leave the engagement.
• Coordinate vacation and planned-absence information across teams where dependencies exist.
• Help identify potential coverage or coordination issues across workstreams.
• Maintain accurate and accessible information related to team structure and availability where required.
• Maintain the central internal documentation repository for the program and ensure information remains structured, current, and easy to find.
• Help develop and maintain a program-level knowledge base covering teams, systems, processes, contacts, onboarding information, operating procedures, and other reusable knowledge.
• Coordinate with IWC Program Manager if/when knowledge should be maintained within client-owned repositories.

Internal IWConnect operations

• Support administrative and operational activitiesrelated to client engagements.
• Coordinate Jira requests, onboarding, access, assignments, and de-assignmentactivities.
• Monitor TMA time entries and internal records, ensuring accuracy and timely completion.
• Coordinate with Delivery Managers, Team Leads, HR, Accounting, SysOps, and other internal teams.
• Identify opportunities to simplify and improve processes, communication, documentation, and workflows.
• Introduce and implement practical templates, checklists, and reusable processesacross client engagements.

• Strong written and spoken English and confidence communicating with international clients and colleagues.
• Ability to coordinate multiple stakeholders without relying on formal authority.
• Patience and strong interpersonal skills when working with different personalities, roles, and priorities.
• Problem-solving mindset and willingness to challenge inefficient ways of working constructively.
• Comfort working in a dynamic environment where priorities and team structures may evolve.
• Ability to understand technology and software-delivery environment at high-level, without needing to be a software engineer.
• Familiarity with tools such as Jira, Confluence, SharePoint, Microsoft Teams, Excel, or similar collaboration and documentation platforms.
• Experience working in an IT, software development, consulting, or other professional-services environment would be an advantage.
