We’re looking for an organized and dependable Administrative Assistant to support our Senior Managing Director of Cyber Security and the broader department. In this role, you’ll coordinate calendars, meetings, travel, communications, and other day-to-day administrative needs that help the team operate smoothly.

The ideal candidate is proactive, adaptable, and comfortable managing changing priorities. You’ll interact with leaders, business partners, clients, and teams across the company while assisting with meetings, events, correspondence, and departmental projects.

Success in this position requires strong organization, attention to detail, good judgment, and the ability to handle confidential information. If you enjoy helping others, solving day-to-day problems, and keeping work on track, we’d love to hear from you.

This position may be worked remotely within the United States, with the exception of California. All positions, regardless of location, may require an onsite interview or in-person onboarding requirement to verify your identity.

This is an hourly position with a targeted annualized compensation range of $43,400- $70,000. Actual compensation will be determined based on location and experience. The hours are 9:00am to 6:00pm CT and this role may travel 10%-25% for team meetings, trainings or conferences.

What you’ll be responsible for:

  • Provides department leader(s) with administrative support, including but not limited to coordinating schedules and appointments, organizing travel arrangements, drafting documents, and establishing agendas.
  • Fields direct calls, voicemails, emails, and direct requests from department managers and employees, as well as employees in other departments.
  • Writes, edits, and proofreads department communications, interoffice and departmental handouts, letters, articles, and various types of correspondence.
  • Analyzes unit operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to revise established procedures.
  • Handles confidential material relevant to company operations.
  • Reviews and answers correspondence.
  • Arranges use of conference rooms and use of outside facilities.
  • Collaborates with various staff and departments to complete special projects.
  • Promotes a positive atmosphere and work environment in the department.
  • May be required to handle and ship small items via UPS, USPS, or other means.
  • May perform other job duties as assigned.

What you’ll need to have:

  • A minimum of 3 years of experience within an administrative role.
  • Experience supporting director-level or above leadership.
  • Ability to handle confidential information and always maintain confidentiality.

  • General understanding of the financial industry.
  • Strong communication and interpersonal skills.
  • Proficiency with AI tools.
  • Strong knowledge of MS Office Products, including PowerPoint, Excel, Word, and Outlook.
  • Exhibits professional appearance and presentation.
  • Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Able to pay very close attention to detail and handle multiple tasks.
