Company Engagement & Coordination Lead

Reports to: Chief People Officer 

Hours: 37.5 pw (9.30-6pm Monday to Friday, 1 hour lunch)

Term: Permanent

Location: Hybrid - London/Office based in (2 days / week)

About the Role

At Artlogic, our People team is a trusted partner to the business and a driving force behind our culture and talent. This is a company-wide coordination role bringing together events, employee engagement, workplace experience and practical support for Artlogic’s leadership and company rhythms. You’ll play a key role in bringing our culture to life, creating brilliant experiences, delivering the moments that bring our people together, and helping everyone feel connected, informed and part of Artlogic, wherever they’re based.

You’ll be the person who makes things happen behind the scenes: ensuring our company-wide events run brilliantly, our leaders have the practical support they need for important meetings and offsites. You’ll be the person who anticipates what’s needed, brings people and details together, and makes sure things happen brilliantly.

You’ll be comfortable embracing AI and automation to work smarter and simplify the day-to-day, while recognising that the real value you bring is distinctly human - your creativity, judgement, attention to detail and ability to build great relationships and experiences.

Key Responsibilities

Company Engagement & Events

  • Coordinate and help deliver Artlogic’s programme of company-wide events and engagement activities.
  • Organise key moments in our company calendar, including company kickoffs, end-of-year wrap-ups, summer and Christmas events and other company gatherings.
  • Coordinate regular London-based engagement activities, including Artlogic breakfasts and office events.
  • Manage the practical end-to-end delivery of events including venues, suppliers, logistics, communications, materials and attendee experience with the support of the Culture Club. 
  • Help create experiences that strengthen connection and engagement across Artlogic.

Leadership & Company Coordination

  • Coordinate logistics for Board meetings, Executive meetings, leadership offsites and other strategic company gatherings.
  • Arrange venues, travel, catering, materials and other practical requirements.
  • Support the preparation and coordination of meeting materials and presentations where required.
  • Be a trusted go-to person for leaders who need practical organisational support around important company activities.
  • Help maintain an effective rhythm around recurring company-wide meetings and events.

The role is designed around company-wide and leadership coordination rather than traditional one-to-one EA diary management.

People & Culture Support

  • Work closely with the People team to bring Artlogic's culture and employee experience to life.
  • Support company moments that help employees connect with Artlogic's strategy, priorities and each other.
  • Coordinate practical elements of People initiatives where a strong employee experience is important.
  • Work collaboratively across teams and locations to ensure activities feel inclusive and appropriately organised.
  • Bring Artlogic's values - Better every day, Make it happen and Build together - to life through the experiences you create.

Operational Excellence & Continuous Improvement

Look for opportunities to automate or AI-enable repetitive administrative activities rather than relying on manual processes.

  • Build simple, repeatable processes for recurring events and workplace activities.
  • Create clear documentation so key company rhythms don't depend on knowledge held by one individual.
  • Use technology confidently to organise information, coordinate activity and improve 

About You

You’ll be someone who combines exceptional organisation with warmth, judgement and a genuine desire to create a brilliant experience for other people.

You’ll bring:

  • You’ll likely have developed your experience through a Team Coordinator, Office Coordinator or similar role, and may have recent experience in a broader position spanning workplace experience, employee engagement, events and executive coordination.
  • Exceptional organisational skills and the ability to manage multiple priorities without losing attention to detail.
  • Experience coordinating events, meetings, offsites or other complex activities from beginning to end.
  • A proactive approach, you notice what needs doing and make it happen.
  • Strong interpersonal skills and the confidence to work with everyone from new starters to Executive leaders and Board members.
  • Excellent written and verbal communication skills.
  • Confidence creating and working with presentations and company materials.
  • Strong judgement, discretion and professionalism.
  • Comfort working in a fast-moving environment where priorities can change.
  • Confidence using technology and enthusiasm for finding smarter, AI-enabled ways to work.
  • A practical, hands-on attitude-you’re equally comfortable planning a major company event and sorting out the small details that make an office run brilliantly.
