DMS Advisor - Fixed Term Contract

Why this role matters

The role of Document Management System (DMS) advisor is critical because it ensures that the corporate JNBP documentation is accurate, consistent, traceable, and easily accessible and that process efficiency is improved and knowledge is preserved.

The focus of the DMS Advisor is to further develop and continuously improve the DMS; define, implement and monitor meaningful KPIs; strengthen document governance, usability and user adoption; support users in creating and managing corporate documentation; and ensure a smooth handover to the new Document Controller.

In this role you will:

• Develop, maintain and improve the JNBP DMS based on the lessons learned, and support users to write their corporate documents

• Further develop and improve the DMS documentation in line with the lessons learned from users

• Support with the development of the Information Management System

• Support further DMS training and documentation/communication

• Support the development and maintenance of the Business Management System (BMS) aligned to the latest ISO management standards

• Develop and maintain the information management BMS tool and ensures easy access to management system documents

• Onboard the new Document Controller for managing the corporate DMS

• Report to the BMS manager, and collaborate with many functions of JNBP, especially with the Document Control Team

Requirements

To be successful in the role you will bring:

• · A Bachelor’s degree, or equivalent through experience, preferably complemented by education or hands-on experience in document management systems.

  · 3-5 years of experience in a similar role (preferred).

  · A strong affinity with document management and structured information handling.

  · Solid knowledge of SharePoint (required).

  · Familiarity with international management standards (ISO 9001, ISO 14001, ISO 45001, ISO 27001) is considered an asset.

  · Excellent attention to detail and accuracy.

  · Strong workflow coordination, problem-solving, and process-oriented thinking skills.

  · A pragmatic mindset with a positive, solution-driven attitude.

  · Ability to work both as a motivated team player and independently, with a proactive approach.

  · Strong verbal and written communication skills.

  · Professional proficiency in English, both spoken and written.

  · Willingness to be based in Leuven, with occasional presence at other JNBP sites.

  · Flexibility to travel occasionally, as required by the role.
