What this job involves -

Provide general overall FM services including continuous monitoring of facility. Work with property managers to handle routine property management operations, including procurement of property supplies and services, escorting vendors, perform vehicle and equipment logistics, assisting with other general duties as requested.

What is your day to day?

  • Assist Facility Management Team with tactical planning for the team’s goals and objectives
  • Provide facility specific assistance to the project management team as needed or requested
  • Manage and maintain small facility management tasks as assigned
  • Input, review and complete work orders, invoices, and purchase orders (PO) for accuracy in support of the financial accounting and approval process.
  • Answer, resolve and/or route incoming calls, emails and inquiries from team members, suppliers, and the client in a timely manner.
  • Assist and submitted completed proposals for the Facility Managers and staff on a timely basis while ensuring all support teams review and share their approval.
  • Submit proposals in a timely manner to the client and ensure that purchase orders are issued on time and that purchase orders are on-hand prior to the start of a project.
  • On-time completion, first-time fix, and ensuring proper documentation, quotes, and any backlog of aged WOs are managed and completed on a timely basis including both PPMs and Reactive.
  • Support subcontractor-related inquiries with any WO-related requests while ensuring compliance and timely completion.
  • Coordinate with team to report and address any financial/budget related issues.
  • Identify challenges and solicit resolution assistance as needed.
  • Assist with the coordination and scheduling of maintenance activities
  • Provide general overall facility management services including continuous monitoring of office/facility
  • Ensure appropriate follow up with customers
  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption

Required Qualifications

  • 2+ years’ experience with Facility or Property Administration
  • GED or High school diploma or Technical school diploma
  • Superior customer service skills and orientation
  • Must be proficient at Excel Spreadsheets and have capability of customizing administrative reports

Preferred Qualifications

  • Ability to plan and manage work under time constraints
  • Ability to multitask and work without direct supervision
  • Proficient in MS Office, and possess strong written, verbal and people skills
  • Strong organizational skills and collaborative style
