Reporting to the DACH Lead, the Facilities Coordinator serves as a primary contact for Salesforce employees and visitors. This role manages day-to-day facility operations, delivers reception services, coordinates events, and maintains strong administrative and stakeholder relations to ensure seamless office operations.
Facilities Management
- Act as main point of contact for facility queries, maintenance checks, repairs, and vendor coordination.
- Manage janitorial services, vendor KPI scoring, and handyman schedules, ensuring full compliance with security protocols.
- Coordinate local rollouts of global workplace initiatives (e.g., seating strategies, culture gallery) alongside building management and WPS leadership.
Office Services & Event Support
- Maintain daily office standards, snack and refreshment programs, stock levels, and catering delivery.
- Conduct monthly new hire tours covering office setup, basic Health & Safety (H&S), and security.
- Manage room bookings, catering, AV troubleshooting, and operational execution for in-office events.
Reception Services
- Man reception during business hours, providing a professional, welcoming environment for all guests.
- Handle access control badges, incoming calls, local vendor recommendations, and parking/transport arrangements in accordance with corporate policies.
Communication & Reporting
- Lead local stakeholder and community updates via Slack and email regarding office news, maintenance, and IT updates.
- Act as Stuttgart representative for German WPS meetings, tracking KPIs, project updates, and space management.
- Participate in cross-regional working groups and customer satisfaction initiatives.
Workplace Health & Safety
- Ensure strict adherence to German H&S regulations, documentation, and emergency protocols.
- Assist in organizing local First Aid training and complete all required compliance modules.
Qualifications & Skills
- Experience: Minimum 2 years in Facilities Management or Hospitality (supervisory experience preferred).
- Skills: Strong customer service focus, excellent organizational and multi-tasking capabilities, proactive problem-solving, and effective communication skills in a fast-paced environment.
- Requirements: Flexibility for occasional travel.
