Position Title
Facilities Manager
Job Purpose
The Facilities Manager is responsible for ensuring the efficient operation, maintenance, safety, and compliance of all facility-related services, including building infrastructure, housekeeping, security, technical systems, vendor management, and workplace experience.
Key Responsibilities
Facility Operations
- Oversee day-to-day facility management activities.
- Ensure smooth operation of building systems, including HVAC, electrical, plumbing, DG sets, lifts, and fire systems.
- Maintain workplace standards and service levels.
Maintenance Management
- Plan and monitor preventive and corrective maintenance activities.
- Coordinate with technical teams and vendors for timely issue resolution.
- Ensure minimum downtime of critical equipment.
Vendor & Contract Management
- Manage facility service providers including housekeeping, security, landscaping, and technical vendors.
- Monitor vendor performance against SLAs and KPIs.
- Process invoices and ensure contractual compliance.
Health, Safety & Compliance
- Ensure compliance with statutory, environmental, and safety regulations.
- Conduct safety inspections, emergency drills, and risk assessments.
- Maintain records related to audits and regulatory requirements.
Budget & Cost Control
- Prepare and manage facility operating budgets.
- Monitor expenses and identify cost-saving opportunities.
- Support procurement and contract negotiations.
Workplace Experience
- Ensure a safe, clean, and productive work environment.
- Address employee concerns related to facilities and workplace services.
- Support occupancy planning and workplace optimization initiatives.
Project Management
- Manage facility improvement projects, renovations, and office moves.
- Coordinate with stakeholders to ensure timely project completion.
- Monitor project costs, timelines, and quality standards.
Qualifications
- Bachelor's degree in Engineering, Facilities Management, Business Administration, or related field.
- Certification in Facilities Management (IFMA/FMP/CFM) preferred.
