Facilities Coordinator - Toronto

Position Summary

The Facilities Coordinator provides day-to-day operational, administrative, and workplace support for a corporate office environment in Toronto. This role is focused primarily on floor operations, workplace coordination, and administrative support, while also assisting with light mail room and office services responsibilities as needed.

The ideal candidate is highly organized, customer-service-oriented, and capable of managing multiple responsibilities in a fast-paced office environment.

Key Responsibilities

Floor and Workplace Support

  • Support daily workplace operations to ensure office spaces are clean, organized, and functioning effectively.
  • Conduct routine floor walkthroughs to identify and address workplace or facilities-related issues.
  • Coordinate meeting room setups, office reconfigurations, and seating arrangements as needed.
  • Assist with employee moves, furniture coordination, and workspace readiness activities.
  • Partner with vendors and building management to support workplace operational needs.

Administrative Support

  • Provide administrative support for the facilities and workplace team.
  • Assist with purchase orders, invoice tracking, work orders, and facilities documentation.
  • Maintain operational records, vendor contact information, and service schedules.
  • Support reporting, scheduling, and coordination of workplace initiatives and projects.

Mail and Office Services Support

  • Assist with incoming and outgoing mail and courier coordination as needed.
  • Support package distribution and shipping activities.
  • Maintain office supply inventories and coordinate replenishment requests.

Workplace Experience

  • Serve as a point of contact for employee facilities and workplace requests.
  • Help maintain a professional, welcoming, and well-functioning office environment.
  • Support employee events and workplace experience initiatives as required.

Health, Safety, and Compliance

  • Support office safety procedures and emergency preparedness activities.
  • Report operational, maintenance, or safety concerns promptly.
  • Assist with compliance with building and workplace policies.

Qualifications

  • High school diploma or equivalent required; post-secondary education preferred.
  • 1-3 years of experience in facilities coordination, office administration, workplace support, or related roles.
  • Experience in a corporate office environment preferred.
  • Familiarity with office operations, vendor coordination, and workplace services.
  • Proficiency with Microsoft Office applications.

Working Conditions

  • Occasional lifting, moving of office supplies, or workspace setup support may be required.
  • Occasional after-hours support may be required for workplace projects or office events.

Preferred Attributes

  • Experience supporting workplace or facilities operations in a corporate office environment.
  • Strong interpersonal and stakeholder management skills.
  • Ability to work effectively in a collaborative and service-oriented environment.

Estimated compensation for this position:

50,000.00 - 60,000.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
