Mail Room Executive - Job Description

Role Purpose

To manage the day-to-day mailroom operations, ensuring timely receipt, sorting, distribution, dispatch, and tracking of all incoming and outgoing mail, courier shipments, and internal communications while maintaining accurate records and service standards.

Key Responsibilities

• Receive, sort, and distribute incoming mail, courier packages, and confidential documents.
• Collect, sort, log, and dispatch outgoing mail and courier consignments.
• Coordinate with courier and postal service providers for timely pickups and deliveries.
• Maintain accurate records of all incoming and outgoing mail transactions.
• Perform desk-to-desk mail distribution and internal document deliveries.
• Handle special deliveries, confidential documents, and valuable consignments as per established procedures.
• Manage mailroom equipment such as scanners, franking machines, and tracking systems.
• Monitor service levels and ensure timely completion of mailroom activities.
• Generate daily, weekly, and monthly reports on mail volumes, courier transactions, and service performance.
• Maintain proper filing and audit-ready documentation of all mailroom activities.
• Coordinate with internal stakeholders regarding delivery status and shipment tracking.
• Follow company security, safety, and confidentiality guidelines while handling correspondence.

Skills & Competencies:

• Good communication and interpersonal skills.
• Knowledge of courier and postal operations.
• Basic computer proficiency (MS Outlook, Excel, and tracking tools).
• Strong organisational and record-keeping skills.
• Attention to detail and high level of confidentiality.
• Ability to prioritise tasks and meet deadlines.

Qualification:

• Graduate or Diploma holder in any discipline.
• 1 to 3 years of experience in Mailroom, Administration, Facilities, or Workplace Operations.

• Timely mail distribution.
• Accuracy of mail tracking records.
• Zero loss or misplacement of documents.
• Courier SLA compliance.
• Customer satisfaction and service quality.
