Who We Are
KAZIMI is a cybersecurity company building a new generation of security infrastructure for mobile apps. We empower mobile app developers to trust their own first-party data, using modern cryptographic and privacy-preserving technologies. Our mission is to create a new paradigm of accuracy for mobile marketing data.
Reporting directly to the COO, you'll own the day-to-day running of finance, payroll, legal administration, and tax. You'll be the go-to person for our external accountant/tax advisor (Steuerberater), payroll provider, and legal counsel, making sure deadlines are met, records are clean, and nothing falls through the cracks. You'll also help prepare the numbers and documentation that support board meetings, investor reporting, and future fundraising.
This is a hands-on role for someone who likes getting into the details and building structure where little exists yet. Early on, you'll do much of the work yourself. As we grow, you'll design the processes, tools, and policies that let the company scale without losing control of the basics.

About the role
General operations
- Build and document scalable processes and tooling for finance and admin as the team grows.
- Take on ad hoc projects from the COO, such as fundraising data rooms, office setup, and HR admin.
Finance
- Own day-to-day bookkeeping: categorize transactions, collect receipts, and reconcile bank and card accounts monthly.
- Manage accounts payable and receivable: process invoices, chase overdue payments, and run supplier payments.
- Prepare the monthly close package for the COO and external accountant.
- Maintain the cash-flow forecast and burn/runway tracking; flag variances against budget.
- Prepare financial inputs for board meetings, investor updates, and due diligence requests.
- Track and administer grants, subsidies, and public funding programs, including reporting obligations.
- Manage company expense policy, corporate cards, and spend tool.
Payroll
- Run monthly payroll with the external payroll provider or Steuerberater, and verify accuracy before approval.
- Maintain employee records: onboarding and offboarding paperwork, contracts, salary changes, and benefits.
- Manage social security registrations, health insurance notifications, and statutory reporting.
- Administer benefits, reimbursements, and allowances such as the Deutschlandticket, pension schemes, and equipment.
- Support ESOP/VSOP administration: grant documentation, vesting tracking, and employee communication.
Legal
- Maintain the corporate records: shareholder list, board and shareholder resolutions, minutes, and the Handelsregister and Transparenzregister filings.
- Coordinate with external counsel on contracts, financing documents, and corporate changes.
- Manage the contract lifecycle for NDAs, customer agreements, supplier contracts, and DPAs: templates, first-pass review, signatures, and a central repository.
- Support GDPR compliance: records of processing, DPAs with vendors, and responses to data requests.
- Track key legal and compliance deadlines, renewals, and obligations from investment agreements.
Tax
- Act as the primary point of contact for the tax advisor (Steuerberater) and supply all required documentation on time.
- Coordinate VAT returns, including monthly or quarterly pre-filings and reverse-charge handling for international customers and vendors.
- Support annual financial statements and corporate and trade tax filings
- Keep documentation audit-ready and handle correspondence with the tax office.
- Support R&D tax credit (Forschungszulage) applications and other tax incentives.
What we're looking for
- 3+ years in finance, operations, or accounting, ideally in a startup, scale-up, or accounting or tax firm.
- Relevant experience of German GmbH administration, payroll, and tax processes.
- Comfortable with DATEV or similar accounting tools, spreadsheets, and modern finance software.
- Experience with Greenhouse (or a comparable ATS - Workable, Recruitee, Personio Recruiting).
- HR systems experience: Personio, HiBob or similar.
- Experience with an EOR such as Deel or Remote for employees outside Germany.
- Highly organized and detail-oriented, with strong ownership of deadlines.
- Able to work independently and prioritize in an ambiguous, fast-moving environment.
- Working proficiency in English and C1 or above German proficiency.
