Administrative Assistant - Projects Department

We are looking for a highly organised, proactive and reliable professional to support the Project Sales Manager and the daily operations of our Project Sales Department.

This is not a purely administrative role. The successful candidate will actively contribute to the coordination of projects, sales activities, customer requests and internal workflows.

Key Responsibilities

Manage the Project Sales Manager’s daily schedule, correspondence, meetings and pending actions.

Prepare and follow up on quotations, orders and commercial agreements. Maintain accurate customer, project and activity records in the company’s ERP and CRM systems.

Monitor project progress, delivery schedules and required follow-up actions. Coordinate communication between customers, internal and external sales representatives, suppliers and other company departments.

Prepare sales reports, presentations and supporting materials for meetings. Record meeting minutes and monitor the completion of agreed actions.

Support the efficient organisation and daily operation of the Project Sales Department.

Required Qualifications

At least 2-3 years of experience in a similar role supporting a senior manager or commercial department.

Excellent knowledge of Microsoft Office, particularly Excel, PowerPoint and Outlook.

Previous experience with ERP and CRM systems will be considered a strong advantage.

Good command of both Greek and English.

Excellent organisational and time-management skills.

Strong attention to detail and the ability to manage multiple priorities and deadlines.

Professional communication skills, discretion and accountability. Commercial awareness and a proactive, solution-oriented mindset.
