Join a collaborative outpatient rehabilitation team of approximately 20 Physical Therapy, Occupational Therapy, Speech-Language Pathology, and therapy professionals who work together to provide a positive experience for patients throughout their rehabilitation journey. How you’ll contribute
A Front Desk Representative who excels in this role:
Provides front desk and administrative support for the outpatient rehabilitation department, supporting Physical Therapy, Occupational Therapy, Speech-Language Pathology, and therapy assistant staff.
Greets and checks in patients while providing a welcoming, professional experience for patients and families.
Answers incoming telephone calls, responds to routine questions, and appropriately directs calls or concerns to clinical team members.
Schedules, reschedules, and cancels patient appointments while maintaining accurate therapy schedules.
Assists with patient registration and ensures required information and documentation are complete and accurately entered.
Uploads, scans, and maintains patient documents within applicable systems and electronic medical records.
Verifies patient insurance eligibility and benefits and may assist with obtaining insurance authorizations for therapy services.
Communicates with patients, families, therapists, physician offices, insurance representatives, and other departments as needed to support continuity of services.
Recognizes when patient questions or concerns require clinical attention and appropriately escalates them to a therapist or other team member.
Maintains confidentiality of patient information and follows established HIPAA, departmental, and organizational procedures.
Works collaboratively with front desk staff, department leadership, and approximately 20 rehabilitation professionals to support efficient daily clinic operations.
Maintains accuracy and attention to detail while balancing multiple priorities in a busy, patient-facing environment.
Provides occasional coverage at the Etowah outpatient rehabilitation location based on department need and employee availability.
Performs other administrative and clerical duties as assigned to support the outpatient rehabilitation department.
What we’re looking for
Applicants should have a high school diploma or equivalent, required. Additional requirements include:
Basic knowledge of medical terminology.
Basic understanding of healthcare and insurance processes.
Comfortable using computers, technology, and electronic systems; able to learn new programs and adapt to changing processes.
Strong customer service and interpersonal skills with the ability to communicate professionally and positively with patients, families, and coworkers.
Professional and pleasant telephone presence.
Strong attention to detail with a focus on accuracy.
Ability to organize and prioritize multiple responsibilities in a busy front-office environment.
Ability to work effectively as part of a team while also taking initiative and working independently when appropriate.
Ability to recognize when assistance or escalation is needed and seek guidance appropriately.
Flexibility to provide PRN coverage based on department needs.
Preferred Qualifications
Previous experience in a healthcare, medical office, outpatient clinic, or rehabilitation setting highly preferred.
Previous experience with patient scheduling, registration, insurance verification, or authorization processes preferred.
Experience with Medhost and/or ReDoc is a plus.
Previous Physical Therapy, Occupational Therapy, Speech Therapy, or rehabilitation-office experience is a plus.
Schedule: PRN, as needed (Monday through Friday, 8:00 a.m.-6:00 p.m. This PRN position is expected to provide approximately 10-16 hours of support per week, typically across two partial or full days, based on department needs)
