Requirements

Service Scheduling Coordinator: This is where you come in.

We're seeking a Service Scheduling Coordinator to support our Commercial Service Technicians and Service Operations team. In this role, you'll own the day-to-day coordination of technician schedules within an assigned geographic area, balancing customer needs, technician capacity, planned maintenance, demand service, and emergency requests.

You'll be at the center of a fast-moving operation, partnering closely with customers, technicians, and teammates to evaluate priorities, adjust schedules, communicate changes, and keep work moving forward. The schedule will change, sometimes quickly, so success in this role requires strong judgment, organization, communication, and the ability to make decisions when priorities compete.

In return for delivering results, you'll have opportunities to take on greater responsibility, develop your knowledge of service operations, and grow within the organization.

Top 3 things to deliver in the first year to be a hero:

  • Effective Triage & Schedule Ownership - Continually evaluate and prioritize service requests based on urgency, customer commitments, technician capacity, geography, and business needs. Make thoughtful scheduling decisions and ensure technicians have the information they need for a successful dispatch.
  • Ownership & Follow Through - Stay ahead of maintenance backlog, open work, incomplete work in progress, and changing schedule needs. Maintain accurate records, identify potential issues before they become urgent, and follow work through to the next responsible step.
  • Clear Communication & Partnership - Keep customers, technicians, and teammates aligned through proactive communication. Communicate schedule changes clearly, ask questions when information is missing, and partner across the team to keep work moving forward.

The Service Scheduling Coordinator reports to Ashley Skelton - Director of Service Coordination, and works collaboratively with technicians, operations leaders, and the broader Service team to support our growing business.

Your Background: What kind of person will thrive in this role?

You should have…

  • A track record of delivering excellent customer service, including in high-pressure or rapidly changing situations.
  • The ability to evaluate competing priorities and adjust plans while keeping the right people informed.
  • Strong computer skills and comfort working across multiple systems, including Microsoft Outlook, Excel, and Word.
  • Strong attention to detail and the ability to maintain accurate information while managing multiple priorities.
  • Experience in dispatching, scheduling, customer service, service operations, or a similar coordination role is a plus.
  • Knowledge of HVAC or commercial building systems is helpful, but not required. We'll help you learn the industry.

And everyone you work with should describe you as…

  • Someone who takes ownership and follows through.
  • Calm and adaptable when priorities change.
  • Organized and able to manage multiple competing priorities.
  • A proactive communicator who keeps people informed.
  • Someone who uses good judgment, asks thoughtful questions, and looks for solutions.
  • A collaborative teammate who understands that individual decisions impact the customer, technicians, and the larger team.

And you should be motivated by…

  • Learning how the business works and becoming increasingly confident making decisions independently.
  • Taking ownership of your work while knowing when to ask questions or escalate an issue.
  • Solving problems rather than simply identifying them.
  • Working in a fast-paced environment where priorities can change throughout the day.
  • Finding better ways to work as the team and business continue to grow.
  • Being part of a collaborative team that values transparency, accountability, continuous improvement, and having fun along the way.
