Middle Office Onboarding Specialist

We are hiring for Middle Office Onboarding Specialist responsible for end-to-end onboarding and implementation across fund and retirement products, including account setup, documentation, data validation, trade processing support, and stakeholder coordination.

Key Responsibilities:

• Perform end-to-end onboarding and implementation activities.

• Coordinate with internal teams, clients, and external partners for account setup and documentation.

• Ensure compliance with KYC/AML and regulatory requirements.

• Manage documentation, onboarding workflows, and client communications.

• Execute system setup and validate data integrity across platforms.

• Analyze datasets, reconcile discrepancies, and support data conversions.

• Identify operational issues and implement process improvements.

• Handle escalations and manage complex, high-priority cases.

• Drive continuous improvement, new tools adoption, utilize AI and automation solutions to optimize workflows, reduce manual intervention, and support the development of scalable, efficient operating models.

Qualifications

• Bachelor’s degree in Business, Finance, Accounting, Economics or related field.
• 3-5 years experience in Onboarding, Middle office, or Investment Operations.
• Knowledge of fund onboarding, 401k/defined contribution, or trade lifecycle.
• Strong analytical, data management, and problem-solving skills.
• Experience working with financial systems and data platforms.
• Strong communication and stakeholder management skills.
• Willingness to work on a night shift schedule with flexibility to adjust working hours based on business and operational requirements.
• Applicants should be committed to comply to 3-day work on site requirement.
• Applicants should be willing to report to Manulife Offices in UP Ayala Technohub in Quezon City or Newtown Mactan, Lapu-Lapu, Cebu City.

Technical Skills

• Preferred knowledge in MS Office (Excel advanced), data tools (e.g. Power Bi, Power Apps), and financial systems (e.g., Bloomberg, Aladdin, SimCorp).
• Familiarity with custodians, brokers, and payroll/data providers (Fidelity, Principal, The Standard, MassMutual, ING,etc.) and knowledge of payroll providers such as ADP, Ceridian, Paychex.
• Knowledge of trade lifecycle, reconciliation, settlements.
