Position Summary:

Reporting to the Senior Admissions Officer, the incumbent is responsible for reviewing assigned undergraduate and graduate applications and determining admission eligibility in accordance with established guidelines, procedures, and admission requirements. Directs inquiries pertaining to scholarships and student financial aid. Participates in student recruitment activities, job fairs, high school visits, and open house. Provides daily organizational and operational support to the Director and the Unit.

Primary Responsibilities:

  • Review and determine admission eligibility to applicants from high schools in Canada and the US in accordance with established guidelines and procedures.
  • Remain attentive to current enrolment capacity for programs in high demand and enrolment objectives for programs experiencing lower demand.
  • Assess applicant eligibility using multiple sources of information and consult reference sources (including trusted contacts outside McGill). Follow up on missing documentation. Consult with senior staff on complex and borderline applications and those including a claim of extenuating circumstances.
  • Determine eligibility for Entrance Scholarships and refer eligible applicants for further consideration by the Scholarships Office.
  • Compare official final grades with unofficial interim grades to identify significant unexplained changes in academic performance and/or potential evidence of fraud.
  • Participate in student recruitment by attending CEGEP and high school visits and Open House.
  • Handle highly sensitive and confidential inquiries and conversations with discretion.
  • Prepare status reports on applications to support responses to inquiries from senior University administration (Deans, VPs and Principal’s Office).
  • Communicate accurately and tactfully with prospective students, applicants, parents, guidance counsellors, and other stakeholders regarding admission standards, application procedures, and other inquiries.
  • Foster effective working relationships with colleagues and stakeholders. Identify needs, and provide support in the delivery of services.
  • Collaborate with other units within Enrolment Services.

Other Qualifying Skills and/or Abilities:

Demonstrates high degree of integrity and work ethics in decision-making. Interprets and judges validity of academic records based on pre-determined criteria. Organized and manages time effectively and efficiently. Works well under pressure by providing outstanding admission service to current and prospective students to meet enrolment targets. Resourceful in remaining current on changes in educational systems and credentials. Maintains the highest level of discretion, compassion, and professionalism. Uses Slate, Banner, Minerva, and complete Microsoft Office Tools effectively. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #3 on a scale of 0-4
