The Office Coordinator contributes to the delivery of quality services by providing end to end support to ensure the smooth and efficient functioning of the office in addition to general front office and administrative duties.

We are seeking a Casual Office Coordinator to provide temporary coverage from 8 October to 2 November 2026.

What will you be doing?

Office Coordination

  • Submit work orders and schedule repairs for general office space and equipment
  • Work with building management to ensure the smooth running of the office
  • Monitor and maintain stock levels for the general office areas and lunchroom/tea areas, ordering replacements as required from the relevant suppliers
  • Provide a positive front of house service, meet and greet visitors and direct them to the appropriate part of the business, ensuring compliance with visitor management processes
  • Apply building security access protocols, including access pass management, to support the effective operation of the building security system
  • Support MedHealth’s Head of Property with administration of routine audits
  • Coordinate the upkeep of the office environment. Schedule and conduct routine office inspections, providing relevant feedback to areas of the business to maintain a positive, clean and safe working environment. Advise building management of any additional cleaning requirements when necessary.
  • Coordinate key events onsite when required, including organisation of catering and coffees orders for key meetings
  • Manage and support the room/desk booking system in conjunction with IT
  • Provide ad hoc support with Audio Visual equipment and introductory instruction to new team members if required
  • Maintain key work health and safety resources for the office e.g. First Aid Officers poster.
  • Manage incoming and outgoing correspondence including emails, mail and packages
  • Assisting MedHealth’s Executive Assistant team as required

  • Carry out other reasonable duties as required
  • Undertake project work as required by the business.
  • Previous experience working in a corporate office.
  • Excellent interpersonal and communication skills.
  • Strong organisational skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines.
  • Strong Microsoft office skills (Word/Excel/PowerPoint)
  • Proactive, flexible and versatile attitude responsive to changing priorities.
  • Ability to work autonomously and within a group environment and building strong working relationships.
  • Proven experience in managing multiple stakeholders and associated skills in influencing.
  • A personal approach which is positive, enthusiastic, friendly and helpful.
  • Commercial awareness and track record of working within a goal-oriented environment.
