We are currently seeking a highly motivated and detail-oriented Sourcing & Logistics Officer to support our procurement and Logistics operations. Job Summary:
Sourcing & Logistics Officer is Responsible for managing procurement documentation, reviewing proforma invoices and shipping documents, coordinating import permits and bank requirements, following up with suppliers and internal departments, processing insurance and payment requests, maintaining accurate procurement records, and ensuring compliance with company policies and procedures.
Key Responsibilities:
Receive Fresh Proforma Invoice and Check for accuracy using proforma check list.
Request revisions to the Proforma Invoice (PI) if it does not meet the requirements.
Open suspension file for all purchase documents, label, fasten and alphabetically arrange in their respective file cabinets.
Prepare and submit the required undertaking documents to the bank, arrange FCY queuing, and follow up for timely approval.
Coordinate with relevant government authorities to obtain the pre-import & Import release permit.
Coordinate with suppliers and internal departments to resolve supply and delivery issues.
Conduct an initial review of shipping documents using the document checklist to ensure completeness and accuracy.
Maintain accurate records of procurement activities, supplier contracts.
Request insurance quotations from insurance companies and process insurance payments after obtaining the necessary approvals.
Prepare payment requests, coordinate verification and approval, and submit the approved requests to the Finance Department for processing.
Verify duty payment requests received from clearing agents for accuracy and prepare the duty payment request accordingly.
Prepare and submit regular reports on procurement activities and progress.
Prepare and submit the required documents to the National Bank of Ethiopia for clearance.
Ensure compliance with company procurement policies and procedures.
Represent the company in a professional manner at all times.
Perform other procurement-related duties as assigned by the immediate supervisor.
Job Requirements & Qualifications:
Education: Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
Experience: Minimum One year or more experience in logistics, sourcing, or procurement.
Skills & Attributes:Strong understanding of supply chain principles and procurement processes.
Proficiency in MS Office (Excel, Word, PowerPoint), Ethiopian Single Window (ESW) and familiarity with ERP systems is a plus.
Excellent attention to detail and accuracy in record-keeping.
Good communication, negotiation, and problem-solving skills.
Ability to meet deadlines and work under pressure.
Knowledge of basic logistics regulations is advantageous.
Proactive attitude and willingness to learn.
