About the Role

We are looking for a detail-oriented and motivated Junior Payroll & HR Operations Intern to support our payroll and HR operations across India, US, Malaysia and Australia.

The role will provide hands-on exposure to employee onboarding, payroll processing, employee master data, payroll inputs, documentation, payroll reconciliations, reporting and country-specific payroll activities.

Key Responsibilities

1. Payroll Onboarding

• Support payroll onboarding of new employees across India, US, Malaysia and Australia.
• Collect and verify payroll-related documents and employee information.
• Validate employee master data, salary details, bank details, tax information and other payroll inputs.
• Coordinate with HR and employees to resolve missing or incorrect information.
• Ensure all onboarding documentation is complete and properly maintained.

2. Monthly Payroll Support

• Assist in collecting and validating monthly payroll inputs including attendance, leave, incentives, reimbursements, new joiners, exits and salary changes.
• Support payroll processing and validation before payroll is finalized.
• Perform basic checks on payroll reports to identify discrepancies.
• Coordinate with HR, Finance and payroll vendors for payroll-related activities.

3. Multi-Country Payroll Support

• Assist with payroll activities for India, US, Malaysia and Australia.
• Maintain country-wise payroll trackers and documentation.
• Support the payroll team in collecting information required for country-specific payroll processing and statutory compliance.
• Maintain a calendar of payroll deadlines, filings and other recurring payroll activities.

4. Payroll Reconciliation & Reporting

• Assist in payroll reconciliation with payroll reports, bank payments and accounting records.
• Prepare basic payroll MIS and management reports.
• Maintain payroll trackers and supporting schedules.
• Assist in identifying and following up on payroll discrepancies.

5. Employee Payroll Support

• Assist in responding to basic employee queries relating to payroll, payslips, deductions, reimbursements and payroll documentation.
• Escalate complex payroll or compliance matters to the Payroll/Finance team.
• Maintain strict confidentiality of employee and payroll information.

6. Documentation & Compliance

• Maintain accurate payroll records and supporting documentation.
• Assist in preparing documents and reports required for internal and external audits.
• Support statutory payroll compliance activities under the guidance of the payroll team.
• Maintain proper filing of payroll-related records.

7. HR Operations Support

• Support employee onboarding and exit formalities.
• Assist with employee master data updates and HRIS maintenance.
• Support other HR and Finance activities related to employee administration and payroll.
• Assist with process improvement and documentation of payroll processes.

Required Skills

• Graduate or pursuing a degree in Commerce, Finance, Accounting, HR or a related field.
• Basic understanding of payroll, accounting or HR operations.
• Good knowledge of MS Excel / Google Sheets.
• Strong numerical and analytical ability.
• Excellent attention to detail.
• Good written and verbal communication skills.
• Ability to work with confidential information.
• Strong follow-up and organizational skills.
• Willingness to learn international payroll processes.

Preferred: Basic knowledge of Excel functions such as VLOOKUP/XLOOKUP, Pivot Tables and basic formulas. Knowledge of any HRMS/payroll software will be an advantage.

Ideal Candidate

The ideal candidate should be highly organized, comfortable working with numbers and Excel, detail-oriented and willing to learn. The person should be comfortable coordinating with employees and teams across different countries and time zones.

This role is particularly suitable for a B.Com / BBA / MBA / M.Com graduate or final-year student interested in building a career in Payroll, Finance or HR Operations.
