Assistant Manager/ Senior Assistant Manager, Alumni Engagement

Nanyang Technological University's College of Engineering brings together five Schools under a single College Office that sets standards and directs delivery across the College.

The Assistant Manager/ Senior Assistant Manager, Alumni Engagement supports the planning and delivery of alumni engagement initiatives for the College. Reporting to the Assistant Director, Advancement, the role focuses on strengthening alumni connections through events, communications and engagement programmes that foster lifelong relationships between alumni and the College.

Working closely with the five Schools, the Office of Alumni Engagement (OAE) and other University stakeholders, the incumbent serves as a key coordinator for College alumni activities and engagement efforts, contributing to the College's alumni engagement priorities within the University's alumni engagement framework.

Key Responsibilities:

1. Support Alumni Engagement Programmes and Activities

• Plan, coordinate and deliver alumni engagement programmes, networking sessions and community-building activities that strengthen alumni affinity with the College.
• Support initiatives that encourage alumni participation in mentoring, student engagement and other College activities.
• Identify opportunities to enhance alumni engagement across different alumni segments.

2. Build and Maintain Alumni Relationships

• Develop and maintain positive relationships with alumni, alumni volunteers and alumni leaders.
• Serve as a key point of contact for alumni enquiries and engagement opportunities.
• Support alumni involvement in College programmes and initiatives through regular outreach and engagement.

3. Partner with Schools and Stakeholders

• Work closely with the five Schools, the Office of Alumni Engagement (OAE) and other University stakeholders to coordinate and deliver alumni engagement initiatives.
• Support Schools in the implementation of alumni activities and events.
• Facilitate collaboration between alumni, faculty, students and industry partners where appropriate.

4. Manage Alumni Communications and Outreach

• Support the development and dissemination of alumni communications through email, social media and digital platforms.
• Maintain alumni communication calendars and engagement campaigns.
• Promote alumni programmes, events and success stories to enhance outreach, participation and alumni awareness.

5. Coordinate Alumni Events

• Support the planning and execution of the College's alumni event portfolio, including reunions, homecoming activities, networking events, speaker sessions and alumni gatherings.
• Manage event administration, registration, vendor coordination and post-event follow-up.
• Monitor event participation and support efforts to enhance attendee experience and satisfaction.

6. Maintain Alumni Records, Reporting and Continuous Improvement

• Maintain accurate alumni records and engagement data within the University's alumni systems.
• Monitor participation trends and prepare reports on alumni activities and outcomes.
• Collect and analyse feedback from alumni programmes and events, and recommend improvements to enhance future engagement initiatives.

7. Support Administration and Governance

• Support procurement, budgeting, payment processing and record-keeping for alumni engagement activities.
• Ensure compliance with University policies, processes and documentation requirements.
• Assist with reporting and administrative matters to support the effective delivery of alumni engagement activities.

Requirements:

• A bachelor's degree from a recognised university.
• At least 3 to 5 years of relevant experience in alumni relations, stakeholder engagement, events management, partnerships, marketing, communications or related fields.
• Strong stakeholder management and interpersonal skills, with the ability to build positive relationships with alumni and internal stakeholders.
• Excellent organisational and project management skills, with the ability to manage multiple activities and deadlines.
• Strong written and verbal communication skills.
• Experience in event management, alumni engagement or higher education would be an advantage.
• Proficiency in both English and Chinese is required as the role regularly communicates with English-speaking and Chinese-speaking stakeholders
