Nasdaq is an American company founded in 1971 that opened the first electronic stock market and has since turned itself into a financial technology business where exchange operation is only one part. Alongside the United States and Nordic exchanges it runs a listings franchise, sells market data and indexes, licenses trading and clearing technology to other market operators, and has built a large regulatory technology business covering financial crime surveillance, anti-money-laundering and board governance software. Headquartered in New York and listed on its own exchange, it now earns the majority of revenue from recurring solutions rather than from trading volumes.

About the Role

We are seeking a highly organized, proactive, and tech-savvy Executive Coordinator to serve as a trusted partner to the Chief People Officer (CPO). In this role, you will help maximize the CPO’s effectiveness by managing priorities, anticipating needs, enabling informed decision-making, and ensuring focus remains on the work that matters most.

You'll leverage modern productivity tools, including AI, to streamline workflows, improve efficiency, and deliver high-quality work.

Key Responsibilities

  • Leverage AI and productivity tools to organize information, summarize content, track actions, and improve workflow efficiency.
  • Manage information flow, prioritize requests, and ensure timely responses and decision-making.
  • Coordinate leadership meetings, offsites, and events, including logistics and stakeholder communications.
  • Build strong relationships across executives, teams, and external partners.
  • Anticipate potential issues and proactively resolve challenges before they impact the business.
  • Handle sensitive and confidential information with discretion and professionalism.

Qualifications

  • Significant experience supporting senior executives or leadership teams.
  • Exceptional organizational, communication, and relationship-management skills.
  • Strong writing, editing, and proofreading capabilities.
  • Experience coordinating executive meetings, offsite meetings, travel, and complex schedules.
  • Proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Word, and Excel).
  • Comfort using AI-enabled productivity tools and applying sound judgment to ensure accuracy and confidentiality.
  • Ability to manage multiple priorities with professionalism, adaptability, and attention to detail.

What Success Looks Like

  • The executive is consistently prepared, informed, and focused on strategic priorities.
  • Meetings are well-organized, productive, and followed by clear action plans.
  • Communications are polished, accurate, and audience-appropriate.
  • Stakeholders view the executive office as responsive, organized, collaborative, and trusted.
  • Processes and technology are leveraged to improve efficiency, quality, and business impact.

This is an opportunity for a highly capable professional who enjoys building relationships, creating order from complexity, and serving as a trusted partner in a dynamic leadership environment.
