Position Summary

The Operations and Advising Coordinator supports the Director of Operations and Dean of the School of Business and Nonprofit Management to ensure efficient daily operations for faculty, staff, and students. Primary areas of responsibility include graduate student advising as well as general administrative tasks.

Responsibilities

Advising:

  • Support all advising and registration questions for students enrolled in graduate programs. Communicate to students about registration timelines and instructions.
  • Maintain a communication system to track progress and contact with students and address student questions and concerns to develop an ongoing proactive response to improve student retention.
  • Advise students with challenges in completing the degree/program and connect students to University resources that can assist in filling learning gaps or solving any pending issues.
  • Troubleshoot student problems with the Director of Operations, or other offices around campus that can provide support. This includes Student Accounts, Student Engagement, Admissions, etc.
  • Support and reinforce university policies, procedures, and programs that contribute to student success of SBNM students.
  • Maintain communications with admissions regarding incoming graduate students.

Other Operations:

  • Answer SBNM email and be the first point of contact to troubleshoot all external inquiries, student questions or concerns.
  • Be the face of SBNM to greet visitors to the building on a daily basis.
  • Review all syllabi at the start of each semester to ensure up to date usage of University policies. Make corrections as needed.
  • Support the necessary steps to ensure faculty internship and DWE payments are addressed each semester.
  • Maintain organization of files on the shared Teams drive, keep adjunct directory up to date
  • Request Canvas shells be duplicated for new adjunct faculty as needed each semester
  • Collect and maintain syllabi files from each academic term in the shared Teams drive
  • Assist Director of Operations with event details and room requests
  • Record and edit faculty meeting minutes and provide drafts to the Director of Operations for final review.
  • Maintain inventory of office supplies and place orders when necessary.
  • Provides support to Director of Operations for any assigned tasks, especially in relation to SBNM meetings or events.

Salary: $52,000 per year

Requirements

  • Bachelor’s degree
  • Possess a clear understanding and personal commitment to North Park University’s mission of Christian higher education.
  • Have a high attention to detail and excellent organizational and planning skills.
  • Be student-centered, customer friendly, and hospitable.
  • Proficiency with Microsoft Suite: Word, Excel, Outlook, PowerPoint, etc.
  • Proactive problem-solver, see challenges and suggest solutions.
  • Independently manage project timelines and seasonal responsibilities
  • Embrace the North Park distinctives, city-centered, intercultural, Christian
  • Ability to climb stairs and traverse campus and ability to lift and carry small packages (e.g., laptop and office supplies)
  • On-campus presence required.
  • Ability to work a Saturday or evening as needed

Preferred:

  • Ability to problem solve, think critically, and elevate issues as needed.
  • Comfortable with using new technology.
  • Experience using databases and working with sensitive student information.
  • Experience in project management and student service in higher education
  • Strong interpersonal skills and experienced in business acumen
