Summary:
The Administrative Business Partner supports the Executive Vice President and the broader Massachusetts market leadership team across a wide range of endeavors. This role manages the daily operations of all office locations, provides clerical, administrative, and time management support, and assists other company executives as needed. The Administrative Business Partner also plays an active role in culture-building initiatives, business development activities, and event planning serving as a key connector across the office and the community.
Essential Duties and Responsibilities (include but are not limited to):
Executive & Administrative Support
Completes a broad variety of administrative tasks including: managing an active calendar of appointments, completing expense reports, composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans.
Prioritizes and follows up on incoming issues and concerns addressed to the EVP, including those of a sensitive or confidential nature.
Works closely and effectively with the EVP to keep them well informed of upcoming commitments and responsibilities.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Assists in coordinating the agenda of senior management team meetings and off-sites.
Oversees all practical arrangements for executive meetings (room arrangements, catering needs, etc.).
Receives and interacts with incoming visitors, clients, and guests.
Interacts with internal staff at all levels.
Assists with various HR matters and other duties as assigned.
Office Management
Manages the day-to-day operations of all Massachusetts office locations.
Responsible for ordering and maintaining supplies across all offices, ensuring adequate inventory levels at all times.
Stocks supply cabinets and common areas on a weekly basis; conducts regular audits to anticipate needs and avoid shortages.
Serves as the primary point of contact for office vendors, facilities issues, and space-related needs.
Maintains a clean, organized, and welcoming office environment that reflects OneDigital's culture and standards.
Coordinates with building management and internal teams on office logistics, maintenance, and any physical workspace needs.
Culture & Events - Vibe Tribe Committee
Serves as a lead organizer and idea generator for the "Vibe Tribe" culture committee, driving employee engagement and morale across the Massachusetts market.
Coordinates and executes a calendar of internal events, team celebrations, recognition programs, and culture-building initiatives throughout the year.
Collaborates with committee members to brainstorm, plan, and bring creative ideas to life - from concept through execution.
Manages event logistics including venue coordination, catering, invitations, communications, and day-of execution.
Business Development Support
Partners with the Sales team on business development activities, including supporting client events, prospecting initiatives, and external-facing engagements.
Represents OneDigital professionally at offsite events, conferences, and community functions.
Assists with the preparation of materials, logistics, and follow-up for business development efforts.
Qualifications, Skills and Requirements:

Must be able to effectively prioritize multiple tasks, meet short deadlines and take direction well.
Must be able to coordinate multiple schedules and produce accurate work despite frequent interruptions.
Possess the ability to perform assigned duties with minimum supervision.

Ability to build strong professional relationships with stakeholders, including staff and external partners.

Comfortable and professional in client-facing and external event settings.
Advanced proficiency in Microsoft Office.
Education, Training and Experience:
3+ years of experience supporting Executive and C-Suite professionals, required; 5+, preferred.
Bachelor's Degree, preferred.
Experience handling sensitive and confidential matters.
Prior office management or facilities coordination experience, preferred.
Experience with event planning or employee engagement initiatives, a plus.
The typical base pay range for this role nationwide is $70,000 to $80,000per year.
Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance. We also offer eligible employees health, wellbeing, retirement, and other financial benefits, paid time off, overtime pay for non-exempt employees, and robust learning and development programs.
