Program Coordinator

• Coordinate calendars, invitations, and meeting logistics for managers, projects, and staff meetings. Share weekly time-off updates and maintain a calendar of key dates.

• Review and coordinate leadership meeting invitations and calendar commitments on a daily basis.
• Support the Costa Rica team with local meetings, file requests, and occasional training coordination.
• Prepare roster and headcount reports; update organizational charts and public distribution lists; and process employee changes by following the appropriate onboarding or offboarding steps.
• Update relevant Teams channels, SharePoint sites, and trackers. Maintain the vacation tracker and send service-anniversary reminders to managers.
• Track required corporate training completion, including Standards of Business Conduct, Global Trade, and Records Management
• Compile monthly direct-report summaries and managers’ accomplishments, coordinate Engineering and Enablement monthly reviews, and keep related SharePoint folders organized.
• Maintain SharePoint content and structure, and support the preparation of monthly program materials.
• Coordinate All Employee meetings and Quarterly Business Reviews, including invitations, agenda planning, presentation inputs, session hosting, executive summaries, and recognition items.
• Consolidate quarterly presentation materials and coordinate review of the required inputs.
• Provide employee information for business continuity planning when requested; this role supports information gathering and does not lead the drill process.
• Identify opportunities to improve team processes, organize and clean up SharePoint sites, and explore automation for recurring trackers, including AI license tracking.

Requirements

• Advanced English proficiency (B2+ to C1) and strong written and verbal communication skills.
• Advanced Microsoft Excel skills and strong PowerPoint and OneNote skills, including the ability to prepare presentations and present information clearly.
• Excellent organization, attention to detail, follow-through, and the ability to coordinate several deliverables at once.
• A service-oriented, energetic approach and confidence working with managers and cross-functional teams.
• Comfort using Microsoft Teams and SharePoint for team communication and information management. Preferred qualifications
• Experience with Power Automate
• SAP
• Microsoft Copilot, or other AI-enabled productivity tools is an advantage.

• Familiarity with continuous improvement practices such as Kaizen is also welcome.
