Warehouse Assistant

Now we’re looking for a Warehouse Administrative Assistant to join our warehouse team and help us shape the future of food and beverages. You will be based in Roeselare, Belgium and report to the Warehouse Coördinator.

Your role in the blend

As a Warehouse Administrative Assistant, you play a key role in supporting the daily logistics operations of our state-of-the-art automated High Bay Warehouse. You ensure the accurate administrative processing of goods movements, coordinate logistics activities with internal and external stakeholders, and contribute to a smooth and efficient flow of goods through the effective use of our ERP, WMS and Yard Management systems. In addition, you provide essential backup support to the dispatching function, ensuring operational continuity during absences and peak periods.

In this role, you will:

• Prepare, coordinate and monitor inbound and outbound logistics activities, including transport documentation, customs administration, CMRs and pallet management.

• Coordinate loading and unloading operations and provide clear instructions to warehouse operators.

• Prepare and follow up on case-picking activities to ensure timely order fulfilment.

• Process and maintain logistics transactions in ERP and WMS systems, ensuring inventory accuracy and operational continuity.

• Manage Time Slot Management and the Yard Management systems to optimize transport planning and warehouse capacity.

• Collaborate closely with transport, dispatching, warehouse operations and production teams.

• Act as the first point of contact for operational issues and support the resolution of day-to-day logistics challenges.

• Identify opportunities to improve logistics processes, efficiency and service levels.

• Take ownership of dispatching activities during absences, holidays and peak periods, ensuring continuity of shipment processing, transport administration, dock coordination and communication with carriers, drivers and internal stakeholders.

Your key ingredients

You would be a great fit if your background and experience would look similar to this:

• A Bachelor's degree in Logistics, Business Administration or a related field, or equivalent experience in a logistics administrative role.

• Strong organisational and administrative skills with an eye for detail and accuracy.

• Experience in logistics, transport, dispatching or warehouse operations is a strong asset.

• Experience working with ERP and/or Warehouse Management Systems (WMS) is an advantage.

• The ability to work independently while building effective relationships with a wide range of stakeholders.

• A flexible and hands-on approach, with the ability to adapt quickly in a dynamic operational environment.

• Willingness to act as back-up dispatcher and independently take over dispatching responsibilities when required.

• A solution-oriented mindset with the capability to handle operational challenges and exceptions within a fast-paced environment.

• A continuous improvement mindset with a focus on efficiency, optimisation and operational excellence.

• Fluent in Dutch and professional communication skills in English. Knowledge of French and/or German is considered a plus.

• Willingness to work in a two-shift system (05:00-13:00 and 13:00-21:00).
