Overview

Project Analyst with 3 to 5 years of experience supporting project coordination, delivery operations, resource planning, or project administration within advertising agencies, production organizations, marketing environments, consulting firms, or professional services companies.Their mission will be to support the successful planning, tracking, coordination, and delivery of production and content adaptation projects across multiple brands, clients, and workstreams. We are seeking a highly organized and detail-oriented professional with strong analytical skills, excellent communication abilities, and a proactive mindset who can help ensure operational excellence, project visibility, and successful project execution across cross-functional teams.

Responsibilities

• Support Project Managers in planning, organizing, and monitoring project activities throughout the project lifecycle.
• Assist in translating project briefs into structured project plans, timelines, schedules, and actionable deliverables.
• Coordinate project inputs, requirements, dependencies, and deliverables across multiple teams and stakeholders.
• Maintain project documentation, ensuring all project-related information remains accurate, current, and accessible.
• Monitor project progress against established timelines, milestones, and delivery objectives.
• Maintain project trackers, dashboards, status reports, and performance metrics to support project visibility.
• Identify potential project risks, delays, bottlenecks, and dependencies, escalating issues appropriately when needed.
• Support resource planning activities by tracking allocations, workload distribution, and project staffing requirements.
• Facilitate communication across project teams, functional departments, and operational stakeholders.
• Coordinate project meetings, action items, status updates, and follow-up activities.
• Support compliance with established workflows, governance processes, approval requirements, and operational standards.
• Ensure project records, approvals, and documentation are properly maintained for audit and quality purposes.
• Utilize project management systems and collaboration tools to support workflow management, reporting, and project tracking.
• Generate reports and insights related to project health, capacity planning, resource utilization, and delivery performance.
• Contribute to process improvement initiatives focused on efficiency, reporting, operational excellence, and project visibility.
• Support the adoption of project management best practices, tools, and methodologies across the organization.
• Use AI-powered tools responsibly to improve productivity, reporting, and operational efficiency while maintaining accuracy and quality standards.

Qualifications

• 3 to 5 years of experience in Project Coordination, Project Administration, Delivery Operations, Resource Management, PMO Support, or similar roles.
• Experience working within advertising agencies, production environments, marketing organizations, consulting firms, or professional services organizations.
• Strong understanding of project coordination, scheduling, reporting, and stakeholder management practices.
• Proven ability to manage multiple projects and deadlines simultaneously in fast-paced environments.
• Excellent organizational skills and strong attention to detail.
• Strong analytical and problem-solving abilities with the capability to identify risks and escalate issues appropriately.
• Experience maintaining project documentation, trackers, dashboards, and operational reports.
• Strong communication and collaboration skills with the ability to work effectively across cross-functional teams.
• Advanced proficiency in Microsoft Excel and strong working knowledge of PowerPoint and Microsoft Teams.
• Experience working with project management and workflow tools.
• Familiarity with Workfront, Monday.com, Jira, Asana, Smartsheet, Power BI, or Tableau is highly desirable.
• Experience supporting resource planning, capacity management, or project reporting activities is a plus.
• Healthcare, pharmaceutical, or other regulated industry experience is considered a plus.
• Demonstrated ability to follow established processes while maintaining flexibility in dynamic environments.
• Strong accountability, adaptability, curiosity, and eagerness to learn new systems, workflows, and project management methodologies.
